NZLARPS National Committee quarterly summary February 2014

The NZLARPS National Committee doesn’t formally meet, and instead conducts business through its Diatribe forum. As a result, we don’t publish formal minutes. Instead, we have decided to provide a quarterly summary of business.

Matters discussed

Since taking office after the AGM the National Committee has:

[li] Filed constitutional amendments passed at the AGM and updated the register of incorporated societies;[/li]
[li] Discussed the implementation of the 2011-12 committee’s disciplinary decision regarding Adam P, and reminded all Projects of his membership ban and attendance restrictions;[/li]
[li] Discussed the redistribution of membership fees to regional branches and noted a previous committee decision which agreed to this in principle.[/li]
[li] The Secretary has compiled a list of previous National Committee decisions so we know what we’ve done in the past;[/li]
[li] Ryan produced a detailed national marketing strategy, setting broad goals for NZLARPS. An outline of this work is here. Related discussion of websites and newsletters (ongoing).[/li]
[li] Discussed supporting a larp convention in Hamilton and the formation of a regional branch there. Jared has done great work at grassroots organising, and provided a model for other centres. In order to provide a membership base for the new branch, the committee formally agreed to discounted membership for the Hamilton region (see motion 2014-1 below);[/li]
[li] Discussions around the formation of a Hamilton branch uncovered a problem with past implementation of the regional model, which will need to be put to the membership before a Hamilton branch can be formed. See public consultation here[/li]
[li] Discussed financial policies, and formally agreed who would have access to accounts (see motion 2013-4 below)[/li]
[li] Began discussions around an incident register (ongoing);[/li]
[li] Formally agreed to publish a regular summary of its business, including matters discussed and motions passed, with appropriate redactions for privacy (see motion 2014-2 below)[/li][/ul]

Motions passed

2013-4 (23 Dec 2013): That NZLARPS adopt a policy that both the National President and the National Treasurer should both have independent access to and control over (be independent signatories to) all of the Society’s bank accounts, with the Regional Treasurers also having independent access to and control over (be independent signatories to) the account specific to their region.
