We’ve had AGMs in pubs, as well…

And just a reminder: if you want to be on the committee next year, you need to be a member for two full months before the AGM. So it might be time to check and renew your membership.

So what you’re saying is I can’t be on the committee if I’m not a member… that’d be an easy way to quit :wink:

(I renewed my membership just before the last Teonn (or just before Hydra, can’t remember) so I’m good. I just need to find some other sucke… er, volunteer for later :wink: )

The database will be updated once I have bank account access and can see the list of payments- there is an update about this on the agenda for Sunday. People will have their membership updated to be a year from when their payment appeared in the account.

Regional and National AGMs
The AGMs have been tentatively booked for Wednesday 19th September (dependent on booking a venue). The National AGM will happen simultaneously in Auckland and Wellington, and will be followed by the respective regional AGMs. The plan is to try and stream the meeting between the two centres. If this is not possible, then e-voting will be enabled and the National meeting will be updated live via Twitter.

All positions will be open for election, and are as follows:

National Marketing Officer- currently Michelle Burt
National IT Officer- currently vacant

Regional Director- currently Ellen Boucher

In order to be eligible to stand for a post on the committee, candidates must have been member continuously for 2 months prior to the AGM. Nomination forms will be available closer to the time, as will be details of times and venues for the Auckland and Wellington meetings.

Chris Rosedale has indicated that he will be stepping down as Regional Secretary at the AGM.

Bank Account Access
The forms have now been signed and sent off to the BNZ to allow Scott and Ellen access to the National bank accounts. Ellen needs to see the transaction histories in order to update the membership database. Anthony said he would send Ellen the bank account statements for the past year to allow her to update the database.

Update- Anthony has sent through the bank statements and the database is in the process of being updated.

Report from the South Island
Matt ran ‘Dead Man’s Chest’ at Otago Uni games day- it was completely full, the last space being taken on the day. People in Dunedin are starting to get into costuming. He plans to test his Chimera game with the Dunedin LARP crowd in 2 weeks time. The next Otago Uni gaming con is 3 weeks after Chimera. The Dunedin LARP scene currently has a good number of regular players. Angus Dingwall is working on a Fiasco-style LARP-writing system, which will be playtested at some point.

Upcoming LARP Calendar
4th August- ConFusion- Brooklyn Community Centre- 4 LARPs running- Shell Beach (still has space), Stars over Strangeways (full), Mansfield and Monsters (full), The Book Group (8 spaces, not available for pre-booking)

End August- Chimera in Auckland

Between Chimera and 33AR there will be at least one smaller game running. Scott is looking at running 1 or more ‘mini-LARPs’, e.g. Snow White or similar-sized game.

16th September- Teonn Day Game

21st-23rd September- 33AR (not an NZLARPS project)

12th-14th October- Aethercon
There will be 3 games planned for after Aethercon to invite Aethercon attendees to (further details later in the minutes)

Slash- being re-run some time late Oct-mid November, tbc.

Fright Night- 27th October

Vic Uni Games Club- ‘Pirates and Hookers’- Ellen to contact Russ to confirm date.

Teonn weekend (Auckland)-30th Nov- 2nd December

Between Teonn and Christmas- we are looking at a Christmas Special LARP night- Ants to discuss with Hannah about offering a rerun of ‘The Office Secret Santa’, Ellen will be running ‘Holiday Season’.

January- KapCon

February- Bryn is working on Kingdom II

We would like, if possible, to see ‘All That Jazz’ and ‘The Bell’ re-run at some point. Chimera re-runs in the offing for Wellington are (at present): Alpha Alpha Asgard, Carry On At Camp David. Bryn would like to see Sabretooth and Galaxia 2.0 re-run. Other requests for re-runs to be floated on the mailing list and Diatribe after Chimera.

33AR
While this is not an NZLARPS project the committee are doing our best to support it. We are paying for uniforms for crew for the game (to be added to the Gear Library afterwards). At present we don’t have a list of what gear and props are needed- Scott is chasing Nick Wolf about this.
More crew are still needed for the game (as far as we know). 5 of the current committee (Ellen, Scott, Anthony, Donna and Chris) are all crewing for the game.

Gear Library
Scott is going to organise a Gear Day- the plan is that people come along to Scott’s place (where the gear is stored) to sort through the Gear Library, clean/mend it, organise it, photograph it and catalogue it. This will be happening some time in December/January, and we’d like to see as many volunteers as possible. We will need people willing to take on a range of roles for the day.

We are also planning to have another Fabric Amnesty and crew-costume-making day.

The Gear Library is currently looking for:
Decent masks- good quality ones for NPC monsters, middle of the road ones for ordinary greeblies.
Teacups and wine tumblers

We are also looking for Ipod speakers- if anyone sees a deal on (for example) Grab One or similar, please let Scott know.

Scott is going to buy 2 Morph Suits for the Wellington Gear Library- one in black and one in green.

Brooklynne has a lot of corflute available for shield-making (see Shield Workshop details later in the minutes).

Bunnings currently have lanterns that might be good for LARP- Brooklynne to check price and get back to Scott.

Paul Wilson has mentioned that he might be willing to store some of the Gear Library at his new place.

Aethercon
Aethercon is the same weekend as Witch House, which means Ellen, Scott and possibly Ants can’t be there to run a booth. However, Brooklynne has offered to take point on this and run the desk. Malcolm, Donna, and Bryn have all offered to help with this by joining her there for a few hours each. We would still like to have some more members there- we need people who are willing to dress up in their Steampunk best and be enthusiastic about LARPing. If anyone would like to volunteer, please e-mail Brooklynne. We are working on producing flyers and a photo wall.

We are also organising some games for after Aethercon to bring in new players- these are (tentatively):

Delicious Friends- 3rd November
Flight of the Hindenburg- Ellen to talk to Nick and Nasia about getting this run.
Tomb of the Mad Goddess- early 2013.

Ellen to give Scott dates for the games a.s.a.p so we can book Turnbull House.

Shield Workshop
Malcolm has now costed this. The plan is to run a one-day workshop (10am-6pm). Brooklynne has offered her place to run it, as it has a large concrete driveway, which we will need.
Fixed costs nclude Spray ADOS, corflute, foam and similar.

The cost for each attendee is $25. At the workshop, each participant will make 1 shield for themselves to take home, and 1 for NZLARPS. There will be a lot of drying time- as Brooklynne’s place is opposite a park, the proposal is that there will be fight practice (or other shenanigans) between parts of the shield-making.

The workshop will happen some time over the summer, provided we have enough interest. Malcolm will post further details about how to sign up to the mailing list.

National Committee Meeting

There is a special National Committee meeting regarding a proposed ban of Auckland member Adam P. This is being minuted in the Wellington Regional minutes to make members aware that it is happening.
