NZLARPS Wellington Committee Meeting 23/06/2013
Meeting opened: 12:20pm
Present: Anthony Doornesbosch, Brooklynne Kennedy, Bryn Jones, Donna Giltrap, Ellen Boucher, Idiot Savant, Mel Duncan, Scott Kelly

Previous minutes: Approved by voice vote
Finances:
- we have $1730 in the bank
- outstanding debts: Norm acquired a staplegun before Hydra, but has not presented an invoice for it yet
Action Point: Ellen will chase Norm about invoice - we need to make provision for around $150 for new plastic bins for gear storage. 7 or 8 @ ~$20 each. Approved by voice vote.
- $100 transaction in and out for Bryn - printing for paintings bounced, he is sure he got paid for it though.
Gear storage:
- Mel’s lease runs out soon, she is hoping to have somewhere soon, but is uncertain about ability to store all the gear. Looking at place with a concrete pad suitable for a shed.
- we will need to move the gear from its current location in July or August.
- Mel will find out from her new prospective landlord whether they will mind a shed.
- Contingency plan: Brooklynne has plenty of space at her place.
- need to price sheds in preparation for potential shed-building larp.
Action Point: Bryn will look on TradeMe
Previous Events:
- Hydra went well, made a few hundred dollars and paid for a lot of gear. Potential complication for next year is that venue wants us gone by 4pm on Sunday. Scott will talk to them about paying extra for a few more hours; alternatively will shift timetable and store gear there after con.
- Scott can do stats on participants, gender ratio etc; currently skews female ~60/40.
- World That Is (affiliate): went well, running another session in October and regularly thereafter.
- Paragon Institute (VUW Games Club): went well, lots of new people.
Preparation for AGM:
- last AGM was on 26/9/2012
- will coordinate with National to ensure national quorum. Scott will book venue once date is set.
- will do database check before AGM. Currently we have ~30 members.
- A good time to join if you want a vote or to serve on committee.
Action point: Idiot and Mel to post encouraging people to join. Ellen will check accounts and update membership. - online version of constitution is outdated; Ellen and Scott will chase this up.
Upcoming Events:
- Dance and the Dawn being rescheduled, probably in November.
- gap on 14 September.
- Games Club normally runs their second game in October/November
- Ellen will run her usual xmas game, this one about children at a nativity play. Likely date 14 December.
- Discuss January - March timetable at AGM.
Other Business:
- Thom found larp weapons on TradeMe - Excalibur maces, but expensive; better to go through Ryan.
