To perish or not to perish - that is the question

What is more important to you:

  • Selling off persihables before they are past their use by / sell date and using the proceeds to potentially fund more NZLARPS projects.
  • Giving away perishables to attendies of the event they were purchased for.
  • Donate them to Charity
  • Who cares…

This is in regards to perishibles purchased for a specific event that WILL NOT SURVIVE in storage.

Just wondering what the communities view on this is in regards to planning out expenses for an upcomming event!

I think it really depends on the project. Having catered many very large events for NZLARPS I made the decision based on my experience to give away all the perishable food that was left over at Teonn. The reason for this is because there was a large quantity of left overs this game and in previous games we have had trouble giving away much less in the way of left overs, so I thought it very unlikely that we would be able to sell all of the left overs. Also what would most likely have happened is, we would have sold a few of the items and then been left with a mountain of perishable food that we would have to somehow transport away from the venue and then in the effort to get rid of all of it, we would have then started giving it away which in my opinion is not very fair when some people had already paid for some of it.

In the ideal world we could have donated the left overs to the salvation army, but due to nobody having any space to transport the amount of left overs we had this time, we had to throw some of it away.

How about leave the stuff out with an optional donations box?

It’s more important to me personally that the food get taken away and used than it get paid for (a second time).

I’d have hated to see half the perishable food go in the dumpster because people couldn’t find a few coins to pay for it.

Sorry - I should have been more clear - this is not really in relation to food - more things that have an expiary date or are allocated to specific characters / npc’s that could actually be sold on quickly (via trademe or somwhere else) such as contact lenses (which could be sold to the crew members required to wear them if they wanted them - if not then binned - obviously) - or perhaps one off use props such as pull off latex masks etc. Rice Paper, sea weed etc etc~~

There is always the question of tins of food… I mean… they can be stored right? But not indefinatly - they could be sold on or donated.

I am not sure what you are talking about in regards to the food at Teonn - I was not there - however I would imagine that the food made it too the site. Taking it from the site cannot have been that ardious. Besides - which isn’t there an after larp? Was there some perishables that were squandered?

Sounds like that might be worth looking at when the Teonn actuals come up - perhaps there is space to squeeze down your budget if there are leftovers - after all the players do pay alot to attend. - How much was left over?

The bulk of the food went in my car and I had to make a second trip to the camp so as to have minor details like clothes and toiletries. I was not prepared to make two car trips home.

22 lettuces, about 30 L milk, a dozen loaves of bread, half a dozen bags of bread rolls, 3 heads of celery, 2 trays of eggs, several bags of shaved ham as well as LOTS of grated carrot, sliced cucumber etc. The food budget’s fine, just the balance was a little off.

I would like a few more people to vote on this - I am mostly interested to see how much event price changes peoples views - obviously re-selling materials will lower the event price but it looks like people would rather just pay a bit more and get some stuff at the end of a game.

With perishable food, budgeting to have a little spare and then giving away any excess seems the most sensible. Better for it to find a good home immediately than potentially go to waste, so long as best attempts are made to not let the amount of excess get… excessive.

Long-lasting food like cans could be stored for another game, if there was space to transport and store it. Otherwise likewise given away - it’s not likely to be a major budget drain.

Could you explain a bit more about the non-food perishables mentioned?

Contact lenses - can they only ever be worn by one person? Do they expire? Could they be stored by NZLARPS for use by that one person as crew at future larps?

Pull-off latex masks - never heard of these. Same questions as for the contact lenses I guess.

I guess what I mostly wonder is something is so perishable, who would want to buy it? Whereas if it’s not so perishable, could it not be used in another game if one was coming soon (even if it was a different campaign or a one-off)?

You absolutely cannot re-use contact lenses with another person. Never ever ever. That is all.

I haven’t heard of any game that has bought contact lenses for use by NPCs in New Zealand where the contacts didn’t belong to that particular person and not NZLARPS. Actually come to think of it, I really dont know of any perishable items bought for games (that I have heard of) other than food. Would also like to know what you are referring to in this thread so that I can respond more appropriately with my opinion. There are definitely some one use items that I know have been bought for games, like glow sticks for example, but these cant be resold or given to charity etc.

To put the leftovers in context, although there was a lot of bulk, the total value of all that was probably around $100. That’s less than $1 per paying person, so not a huge potential event price change should the catering budget be cut. Alternatively, we could keep the budget as is and buy half a dozen pot scrubbers, some new scouring pads and a small sink plunger, all of which would make the washing up easier.

Sorry Adam, just bad timing of the question I guess, with most people’s mind still being on Teonn, I’m sure I’m not the only one who missed the phrase of the “Upcoming event”.
I’m also curious about what sort of non-food perishable item would be, would it let the plot out of hte bag too much to let us know what sort of thing you’re referring to. Rice paper and seaweed were mentioned, but I thought they would count as food.

I would have thought that the potential problem with trying to work out a budget which relies on re-selling some items afterwards is that there is no knowing how much is going to be left over and can’t be sure of being able to acheive the required re-sell price.

Sorry if I offended you, I really just want to understand your question, and all I have to relate it to is my experience with past events. However, if you don’t want my opinion I will stop commenting.

We could also look into whether charities are able to come by and pick up leftovers on short notice. Saves on the transport problem and means the leftovers don’t go to waste

I’ve previously taken left overs from medieval feasts to the City Mission (aucklandcitymission.org.nz/) and they served it straight up to the people who were there.
