Special General Meeting on the 1st Of November (Wed Night)

NZLARPS is having a Special General Meeting on the 1st of November.

The reason we are having a SGM is because we are voting to change our constitution from:

This change means:
= Membership lasts for 12 months from payment, and not until the next AGM as is currently. This change means your membership is simpler to understand and you know you are getting a full year out of your money.
= The fee is set by a general meeting and is not hard coded into the constitution. A general meeting can the AGM(annual general meeting) or a SGM(special general meeting) such as this meeting. Note a standard committee meeting is not a general meeting
= The discount fee and who qualifies is now set by a general meeting and is not set as only students (and what qualifies as a student is not currently defined anyway)

There are several requirements that need to be meet for a constitution change.
=> Society members need access to the change 2 weeks before the meeting. From the date of this post members are getting 15 days notice.
=> Need a quorum of 20 % of the members to hold the general meeting. So the more people that turn up the better
=> Need 2/3’s of the people at the meeting to vote ‘Yes” for the change to have effect

  3. Membership Fees. Currently is $20.00 for a year. We are not planning on changing the fee, but we should set it with our hopefully new and shiny constitution change.
  4. Discounts: Currently students receive 50 % discount, set to full time students and possibly beneficiaries.

The standard committee meeting will follow straight after the Special General Meeting and as always everyone is invited to have their say.

We need an SGM to improve the fees section of our constitution. Only an AGM or SGM can make changes to this document. While we expect the changes will be popular and unanimous, we still need to turn out the numbers to make 'em!

Currently our constitution says that membership lasts from September 'till September with a half-year opportunity in the middle.

The main change we’ll be voting on lets you join any time you like and have your membership expire a year from then. Yeah, kind of like every other membership system :wink:

Who’s coming and who has forgotten? I just realised how close it is when I got back to Auckland yesterday.

David, I’ll be bringing your swords. Is there anything I may have promised people I’ll bring but don’t remember? If anyone else want to buy any weapons this is a good opportunity, let me know in advance here.

Yep - I’ll be there and finally spilling the goods on Nibelungen.

I will be there also. Just don’t expect large ammounts of coherance as I will have just finished a 3 hour English exam and my brain may be a little fried.

I wont be able to make it sorry, I don’t finish work until 6 (read more like 7) and I don’t have a ride, so unfortunately I’m going to have to sit this one out.

Ryan and I had this brief clear-up about Nibelungen venues. Just to clear up in case others didn’t follow.

Thanks for the advice. It’s occured to me but accounting isn’t my forte. I’m not terribly concerned about “recouping” everything, it’s just too hard to qualify what is for the game and what’s not. My approach is that for each event I’ll look at variable costs plus nzLARPS donations and make sure I exceed them by an amount that just feels right. Especially if there’s complete financial “independance” from nzLARPS…

The venue is my place and the rest of Auckland city. I need to acquire four bunk beds (eight spaces) to add to the five I can already sleep in the loft. I have scale diagrams of how they’ll fit in the room. Do you know where I can hire/buy bunk beds on the cheap? Ideally round metal tube ones.

If you’re buying 3 bunk beds, you should be able to get some discounts from the suppliers. Certainly under $200 a unit. I might be able to find out from someone we know who runs a hostel
