NZLARPS adopted a new constitution last year, which has more formal election procedures. Rather than elections being handled by the national and regional secretaries, each committee must appoint a returning officer, who handles nominations, confirms their validity, tallies the votes, and announces the results at the general meeting.
The actual election rules are on pages 15 and 16 of the constitution. The exact processes can be changed, but in the past we have done nominations over Diatribe or by email, with voting done using SurveyHero. The new requirement for nominees to consent and certify eligibility and for the documentation to be retained will add an additional step, but it looks like it can be handled by Google Forms with a copy shared with the secretary for documentation purposes. We can provide access to the membership list, either directly or via spreadsheets, as required.
According to the new rules, the returning officer must be appointed at least 20 working days before the general meeting. Given our normal AGM time of late September to October, the committee would need to appoint a returning officer in late August or early September, depending on the exact target date. We would need someone who is organised, who monitors email / Discord / Diatribe on a daily basis, and who is able to respond to queries quickly. While we do not yet know the exact date, being available at AGM time to announce the results is vital. We would also need someone free of direct conflicts of interest: neither they or any member of their immediate family should be a candidate in the election(s) they are overseeing.
