Renewal instructions

Some instructions on the website on how to pay would be useful. I couldn’t find them; as a result my membership lapsed (the “your membership has lapsed” email had these details, but of course by then it was too late).

Also, wellington is having its AGM this weekend. It would be nice if my membership was confirmed in time to vote.

If you log into the NZLARPS database on the website, go to your user profile, and click “Renew my membership”, it gives instructions for renewing including payment details.

This may be a bit obscure though. We could add:

  • a “how to renew your membership” section on the Membership page that tells you to do what I wrote above
  • an email that gets sent out some time BEFORE your membership expires, with the instructions I wrote above.

The reason we get people to use the button in the database rather than to just make a bank transfer, is that the button sends emails to the Secretary and the Treasurer notifying them, so they know to look for the payment arrival and update your membership when it arrives.

I’d go for both of the above. Also, the button on the website is no help if it never shows up; my profile has been saying “your membership is being processed” for the past year.

(It might also help if the secretary read their emails. I sent a query requesting information the moment I returned from Chimera, and got no response until the automated “your membership has lapsed” message. That lack of response means that even if my membership is processed before the weekend, I can neither nominate nor second anyone for regional committee, which is slightly irritating)

It looks like you have two user registrations in the database, one as IdiotSavant and one with your name. Your previous membership was under your name, but you’ve re-applied as IdiotSavant, which might cause a little confusion as the Secretary may not know the connection. Legally speaking, I think members of a registered society need to be recorded by the society with their real name, so we may want to continue using that login and delete the other - unless perhaps you’re also using it to manage games and events?

Yes, its a complicating factor, but I made it clear in my email to the secretary informing them that I’d paid which account I was using. I use my online name to manage events. I have never used the real name account, and never intend to.

I think I need to get out of my Chimera renewal habit, and instead renew earlier. As I’ve learned this year, doing membership in late August doesn’t leave a lot of time before a September AGM.

In terms of being able to vote at SGM/AGM, in the past NZLarps has accepted membership payments on the night of the meeting, prior to the voting, to enable people to be able to vote. The (new) secretary takes note of the names, and the (new) treasurer takes away the money to bank.

Well, I’ve already paid by internet banking. But we’re likely to have some people doing exactly that at the RGM.

When you paid, you used your real name as a reference. I have now deleted your database entry under your real name and updated your idiot savant entry. As your email was only sent on the 7th, and I have a life outside NZLARPS, it does sometimes take me more than a day to respond to emails.

My outbox begs to differ. I emailed you on 29 August (when, I accept, everyone was still in Chimera recovery mode), and again on 1 September from a different account when I received my expiry notice. I forwarded that email to you again yesterday because I had not received any response to either message and the RGM was approaching.

Anyway, its sorted now, thanks. Next year I’ll try and plan further ahead to avoid such problems in future.

If you payed to renew your membership when you were sent the membership expiry notice, then I’d say your membership has been continuous.

If I was you I’d be inclined to go ahead with running for/nominating/seconding positions online as that is an informal process anyhow, and in the unlikely event that it turns out that you don’t qualify after all for some reason then you can withdraw your nominations or whatever then.

Just for our information, when does our membership expire? Or will we get notices like Idiot did, and so not have to worry unless notified?

If you log into the NZLARPS database and view your profile, it will tell you when your membership expires. This is one of the advantages of having centralised membership data, you can view exactly what the committee can see about your membership.

If any of your details are shown incorrectly (like it shows the wrong membership branch or something), then you should see about getting it fixed up by the national secretary. For contact details, you can fix it yourself.

If you’ve forgotten your password, there is a forgot password link just above the login box. So long as you can remember what email address you used, you can get automatically sent a new random password to log in with. The email will also remind you of your username, I think.
