Minutes for NZLARPS AGM – 21st October 2010

NZLARPS: > Jackie
NZLARPS has been predominantly an Auckland affair, this year the Wellington branch has been started. There are a few major differences, firstly the size and ability of the Wgtn branch. We don’t have as many people in the area. Do we still want to run the group as structured as the Akld group? Do we wish to also have specific roles in regards to Secretary, Treasurer, and President etc? Suggested by Jackie that whoever is keen to take a role, can put their hand up and we can vote as needed. Everyone agreed to this.
Mission statement for NZLARPS – Advertise, Promote, Discounts for Projects that members wish to run. This is what we need to follow; the Wgtn branch will help to do the above for as many Wgtn projects as possible.
Regular meeting that are smaller, more casual and intimate.
What support or ‘wants’ do we want from NZLARPS?
Scott > A calendar, for tracking Larps, free weekends, major cons etc, so that people can plan and check availability of days/weekends.
Bryn and Jackie have access to the Calendar on the NZLARPS website, this is updated monthly, and that has been done for a couple of months now. There is also a thread on Diatribe.co.nz.
Even though there’s up to date Larps listed for specific dates, could we have a full calendar that shows the weekends, public holidays etc. We could also show non NZLARPS items, such as KapCon, BattleCry etc. that also occur. So that events aren’t clashed.
Mel > Groups don’t seem to be interacting, which then leads to conflicts on the same day, eg: KapCon & another gaming group. It was noted that the two groups are now running together, but that was only after it was made know to the organisers that there were two events being run. This could be avoided in future if we made the calendar available across multiple areas, not just for NZLARPS, but for NZRAG aswell as other groups. Long weekends are a high priority, not really much we can do about that, however, with more people, we could run more games, which means growth.
NZRAG is primarily where wellington stuff gets posted, rather than Diatribe which is the Auckland / LARPing area. NZLARPS runs through Diatribe.co.nz, so we should try and point people to there for LARPS as well as NZRAG, which is gaming as well as LARP. Lots of Discussions regards ease of registration on Diatribe. This has been improved since last time anyone has tried registering.
Steph > Wants more support for organising games. Feels that running a game can be a bit overwhelming when trying to organise what dates suit people and then getting a venue sorted, which can be hard if dates keep changing. It was suggested that the game planner picks a date that suits them, then arrange the venue, after which everything else falls into place. Dates can’t suit everyone, but if there is a solid date, people will make the effort and it means they can plan earlier, rather than having a floating date.
NZLARPS can help with finding a location, deposit etc. People are happy to crew for games if they are needed, if Wellington wants to continue to grow, we need crew. People were happy to rotate crewing of games as required.
Suggested that on the Google Groups area, we have a skill list, for a list of people and what they have skills in, or are happy to help with, Costumes, Weapons, Set Dressing, organising, etc.
Steph > Request to get webpage loaded onto the NZLARPS website, happy to do the HTML side of things and forward to Bryn to have loaded. Discussion on time and skills to put the page together, was indicated that Steph was happy to create the page, she just needed somewhere to host it.
NZLARPS – What it can do for you & your fellow larpers.
NZLARPS presence in a game means less risk on the GM’s shoulders. They can foot the deposit for venue, promote the game, and give discounts to members. This means the GM doesn’t have to take the risk of losing money on the game, better advertising could mean more people come along. BUT it means that profits from the game will goto NZLARPS.
The future of NZLARPS in wellington; we have money that needs to be deposited; Anna K has the information for the banking to be done. Ants and Jackie are waiting for that information before they can get the account number.
Scott, Malcolm and Anna all made money for NZLARPS Wellington this year. NZLARPS Auckland fronted us $300 for sword blanks. We discussed ideas for making money and promoting LARPs in Wellington. Sausage Sizzles, Bake Sales & Bikini Car Washes were all mentioned. Armageddon in Wellington is a good place to get the right kind of people. Get permission for a stand either outside or possibly inside for NZLARPS. Pictures, posters, costumes from various games as a display to promote and get more people interested.
Voting for AGM: Jackie has requested that we all, either through Email or Snail mail vote. Check out Diatribe for speeches, or talk to Jackie, Bryn, Scott etc. about the nominee’s.
Wellington Roles: Email / advise the group of what role if any, you wish to do. Everyone was happy to complete in Email discussion, rather than official voting process, as we are a smaller group.

Formalised the Marketing of NZLARPS, Monthly calendar has been updated and will continue to be. IF you have any games you want to run, please advise Bryn, who can help with selecting a good date to run the game.
We discussed the possibility of having a public calendar, so that people from outside NZLARPS can see it. The calendar is generally public, but perhaps we can link it in the various forums other than Diatribe (NZRAG, Google Group etc.) Muppet does a monthly newsletter to members of NZLARPS; apparently some people aren’t getting this. Need to make sure that Muppet has an updated list of members.
Growing the Player base; The University is running a LARP, The Summit of Evil. There are a few people from the group going to this. Is it possibly worth having a chat to the organisers, pointing them to NZLARPS / Diatribe to get the word out? This could lead to more players joining NZLARPS in Wellington? Discussed the University group, when Nick was last there, it was more like a group that just turned up, talked a lot and played the occasional game. Reports are that it is more about gaming now, than discussing random things. This new LARP seems to be a good sign that it’s changed. Perhaps getting more interaction with them will provide a new group of LARP’ers to the scene.
Promoting at KapCon: DVD playing, Posters, Pictures from recent LARPS, Teonn Poster, Chimera information & DVD of photos.
Promoting outside of gaming events: Suggested that we talk to Costume Shops, gaming areas, RDB, again posters and flyers for LARP’ing?
Campaign LARP! Everyone’s hand went up at the idea of a campaign LARP in Wellington, as well as weekend games. We have a need to crew games, as most people that travel are more likely to want to play their own character. A show of hands indicated that people were happy to either crew, or rotate crewing with playing if there was a Wellington Campaign or Weekend LARP. We need people to voice what they want.
Jackie > Waiaroa – Mike and Laura are building / have built? A village for LARP’ing, it’s a great venue as some people have seen. It’s a different climate over there. It is a camping trip though, rather than having showers, etc. at the venue, it’s remote and a fair way to travel for comfort.
Steph > Tatum Park in Levin is another possible location.
NZLARPS Kit: > Scott
There is a spread sheet with all the gear listed on it, which is broken down into different categories. Size, Genre, Costumes, Weapons, and Resources etc. can be viewed. Would like to add various costume companies to the document, prop places, jewellers etc. that can help provide assistance in regards to making or obtaining gear for LARP’s. Work in Progress
Discussed the option of getting old gear from places that throw stuff out, Salvation Army, Costume Hire places, contact them in regards to when they dump stuff, if we can look through before they throw it out, or if they get offered stuff from other areas such as old movie costumes and props, if they don’t pick them up, perhaps we can have a look too. This could be quite time consuming and hard to organise, but could be an option for more gear.
