NZLARPS membership database cleanup

NZLARPS has been an incorporated society for over 20 years now. We have had a lot of members over the years, and we have recorded their details in our membership database. This includes personal information such as names, dates of birth, email and physical addresses and phone numbers. Our use of this information is governed by our privacy policy.

Privacy Principle 9 requires agencies not to hold information for any longer than we have a lawful purpose for using that information. We already have a policy of deleting information from people who signed up for the website but never joined, and of deleting non-essential personal information (phone numbers, birth dates, occupations, student discount info) from older expired members.

Our new constitution obliges NZLARPS to keep at least names and membership dates for former members for seven years. The implication of this is that we have no lawful purpose in retaining such information after that period.

After discussion, the national committee have decided to delete information of former members who expired more than 7 years ago. We propose to do this in early November. The gap is so that former members who wish to retain their connection with the society can rejoin.

If you are a current NZLARPS member, you don’t have to do anything.

If you are a former NZLARPS member who would like to rejoin, you can do so here:
