NZLARPS MEETING MINUTES 12/08/2009

Present: Nikki, Anna, Vanya, Kim, Gaffy, Juliet and Hannah

Meeting start: 19:03

FINANCIAL UPDATE

• About $3000 in the bank.
• Motion by Hannah to close Grand Battle bank account, which has no activity in it, seconded by Anna. Unanimous acceptance.
• Hannah will chase up Knightshade for their financials this month.

PAST LARPS

• Knightshade – was enjoyed even though it was rained out partially.
• Star Wars – was cancelled

UP COMING LARPS

• Chimera – a weekend full of LARP

GEAR UPDATE

• Gaffy is currently upgrading and repairing all our shields. Nikki motions for the committee to accept up to $150 for Gaffy to complete this project, Vanya seconds. Unanimous acceptance, barring Gaffy who abstains.
• There are some items missing, but Gaffy will give a more full report, once he has chased up various GMs.

AGM

• Muppet has booked Commerce A through AMERICA for our use for the AGM.
• Advertising needs to happen soon to make sure we get a good turn out.
• Anna motions and Nikki seconds, for all membership fees to be $10 as a special from 21/08/2009 – 17/09/2009. 6 Yes votes and 1 No – Motion passed.
• Vanya to create some AGM flyers for Chimera
• Nikki started discussion on we should put forward a vote to change the constitution at the AGM. The particular change is in the term that 1 person can run as president of the society. Nikki would like to remove the clause from the constitution limiting the term to 2 years, because in the end, it is up to the community to vote in or out a president on a yearly basis, and if there is someone able and willing to act as president for more than 2 years, they should not be limited by the constitution. Wording change will be discussed online by the committee and advertised on Diatribe for the community to see for at least 2 weeks prior to the AGM. There will be a discussion and vote at the AGM before the election of the new committee.

CHIMERA

• 20/20 is filming at Chimera
• Vanya motions and Gaffy seconds for NZLARPS to donate $65 worth of credit for a game fee for an affiliated or project game and $60 worth of NZLARPS memberships. 5 yes votes and Nikki and Anna abstains. Motion passed.
TRAILER
• Nikki to organise Drunk driver’s panel beater friend to view trailer.
• WOF and REG $150 to renew

Seeing we’re looking at the constitution again, can we get a copy to put online? The one we had seems to have dropped off.

Also, it might be worth having a look at the name of the society according to the constutition. As I recall it’s not the one we actually use (different spelling, uses “role play” instead of “role-playing” or something). No biggie, but we might as well get it consistent if we’re voting in changes.

I was looking at that as well. There are several things that could be cleaned up in the constitution.
I will organise a copy of the current constitution to be put onilne and adverstise the proposed changes as soon as I can. (probably after Chimera)

I’ve put a copy online, the one I downloaded from the site a while back. Despite the fact it’s called, “draft”, I am reasonably sure that it was already passed by the time the I downloaded it. However, it doesn’t have the latest changes from the last AGM.

I like the full spelling of NZLARPS on the website: “The New Zealand Live Action Role Playing Society Incorporated”. Hyphens be damned.
