MEETING START: 18:44

Present: Nikki, Anna, Gaffy, Kim, Vanya, Juliet and Hannah

Previous minutes accepted with 6 yay votes and 1 abstention

[size=150]FINANCIAL UPDATE:[/size]

Situation about the same as last time. Actuals for St Wolfgangs to be posted to Hannah.
$600 out of the account for Chimera
$100 to go out for the purchase of the masks for the gear library.
There are a couple of old cheques which can not be banked because of their age. One cheque we do not know what it was for, so Hannah will contact Steve to clarify.
Knightshade has not handed in their actuals and financial forecast yet and Hannah will chase for these.

Vanya and Gaffy did a good job on the masks and other odds that they bought for the gear library. They spent just under $100 but this includes the ice packs that they bought to replenish the First Aid kit as well.

Anna is going to give Patrick’s details to Gaffy to get the other instant ice packs for the First Aid kit.

We need to book another Gear Rationalisation which will probably bee second weekend of January.

[size=150]MARKETING:[/size]

-Vanya will be contacting games that are running weekend games for a poster that he can use to market the game and nzLARPS.

-We need good graphic designers who can help with making posters look professional.

-Discussion was started on making it a requirement for financial forecasts of projects (for weekend games) to include in their budgets the posters for marketing. Vanya will approach each upcoming weekend game project for this.
Vanya will also be working on a list of places these posters can be distributed.

-There is a new Goth Magazine that is looking for articles, called Nocturn Magazine and Anna is interested in if anyone has a copy of this magazine so that we can look into it.

-Armageddon – discussion was started on whether we should have a booth here. Investigation into prices and logistics need to happen.

-Online Image Gallery – discussion was started on how we are going to get a programmer to donate some time to this and what it is we want from an Online Image Gallery. Maybe we can approach computer students who would be willing to donate time for references. There needs to be one person responsible from the society for this Image Gallery. Juliet has said she will get in touch with coders she knows and ask about it.

-Promotional CD: Anna had the idea that we can put together a promotional CD instead of a flier, to recruit new Larpers. This could be cheaper than printing, contain more information and be more appealing. Also if we could get this done before Battlecry, we can put the CD’s in the packs given out. Brainstorming session is started on the committee forum.

Hey I’m keen to get a copy of that doco and host it. Howcando?

I was chatting to Judit’s teacher last night and he was working on compressing it down to a manageable size. nzLARPS owns a DVD copy (courtesy of said teacher) and Judit has a 500mb digital copy.

This teacher has also agreed to put any Immersions we give him into the school library :smiley:

I’ve got some experience with video compression. If someone can get the 500mb file to me, I can get it on the web at a reasonable size.
