Actions points from last month
• Malu is still looking for a food blender.
• Anna is looking into people to help cooking for Chimera. Malu isn’t allowed too because she is writing the flagship. Kim is the head chef, but wanting people to work under her making meals so Kim can play occasionally.
• Prema and Craig have joined the flagship team. Flagship team have been meeting and it is coming along.
• Memberships. Rowena has updated the membership list. Still needs to go through the database and delete duplicate memberships. Queried a couple of memberships that were given at Chimera.
• We discuss that memberships that are given out must be accounted for in the project budget proposals (i.e. under gifts as Chimera does). And email must be sent to the Secretary informing them of the membership so we have record of it.
• Hamish’s house sale fell through, so we didn’t need to move gear yet. We discuss the financial viability of hiring gear storage. Mike talks about Creative New Zealand and of focusing our fundraising opportunities outside the community. Our current fallback position is that we might have to split up the gear. Long term we want to have NZLARPS earning enough money to hire storage.

• We discuss that if you have an outstanding debt to NZLARPS, then you should not be allowed to attend the next event until that debt is paid.
• We also discuss Anna’s phobia of phones
• Malu notified everyone of the meeting. Next meeting to be wed 8th June at Mike’s place at 7.30pm
• We discuss smart phones. Anna clearly doesn’t have a phobia of smart phones as she is buying one with her first paycheck
• Cameron hasn’t looked up insurance for trailer yet. But he has repatriated a bunch of outstanding gear.
• Mike is going to have trailer serviced and the rust removed when the WOF is next due.
• Mike looked into the cost for another trailer ~ $2000. We don’t have the money for it. The libraries have fundview, which is a database for searching for groups that give grants. Mike will look into this. We discuss robbing a bank.

The new Werewolf monthly larp starting up is probably going to become a project.
Venue Usage and filming at larps
New Horizons is a project of NZLARPS. The final game was player driven and the venue (a church) was booked by a player. The ST’s questioned about the use of an actual church and were told that the church knew that it was a vampire game and that they were okay with the usage.
At the game, it was announced that players should to be careful what we posed online, as the church didn’t know we were playing vampire larp.
After the larp, photos were posted in a private forum and the link posted in the players forum (that you need to be registered to see). Objections were made to the photos being online at all, in case the church saw that the altar was used.
The player content at this game also made many players uncomfortable as it was felt to be inappropriate for an actual church.
The committee discuss this matter, as although the venue was not booked in NZLARPS name, it was a project and ultimately this reflects on NZLARPS.
We agree that with venues of significant cultural or spiritual significance that NZLARPS needs to take an active interest. We should be asking the question of why it needs to be held there, and whether an alternative venue would suffice, and whether the content of the game is appropriate for the venue. His would include but not be limited to churches, maraes and war memorials.
Ultimately, if the venue has requirements for their hiring, then NZLARPS needs to follow them. Abide by the rules of the venue, or don’t rent the venue. This would also cover such things such as alcohol or drugs. The behaviour of players on the venues we rent affects NZLARPS as a whole and could impact our future ability to hire venues.
The other issue that was raised from the New Horizons game was that players arranged for it to be filmed without requesting permission from the game organisers or announcing it to the other players.
Some players have an issue with being filmed.
The committee agrees that the official NZLARPS policy is that if anyone that wishes to film an NZLARPS project, this must be announced with as much notice as possible. If you wish to film a game other than your own, you must asked the game organiser first, and the organiser will announce it to the players. Should a player request not to be filmed at a larp, it is the responsibility of the cameraman to ensure that the player is avoided. The camera should not interfere with anyone’s larping enjoyment.
