4. Other Business

Apologies from AJ. All others present.

  1. Previous minutes and actions were reviewed and accepted.
The seal is being redone (for no extra cost).

  2. Financial update
Steve has not yet had time to reconcile the accounts so full financial update is to wait. The balance is healthy as good profits have been made from recent games. The $60 profit from Mayday was accepted. The old ANZ account needs to be closed and move to the new BNZ account, where we may have as many subaccounts as we need for no extra charge – this means we can have separate accounts for longterm projects such as Mordavia. Otherwise, accounts for projects may be run by the project treasurer. To help with account reconciliation, an end of event or closure form needs to be made, so game organisers can just hand over their profit money, props and closure form at the end of a game.

  3. Post larp reviews
    Nightmare Circle.
Not a lot of costumes or props were used, however much of what was used is one-off like makeup and fake blood. Lessons from Nightmare Circle… Don’t write plots that players can get out of and run away! The location (Albany Outdoor Education Centre) would be suitable for small overnight larps (eg. a 20 person Stargate game). It has a flat field, a non-flat field, a foresty bit with no paths including a stream and a couple of bridges, big trees, a ropes course (that may be a bit unsafe), and a cemetery. Nightmare Circle seems to be still keen to affiliate but documents have to be filled out.

  4. Upcoming Larps
    Warhammer
Short apology was passed on by the project manager, Marc, who is sick at the moment. He has been working on the financial stuff and will hopefully have that finished for the next meeting. A trial combat session is planned in about a week and a trial game will be in about a month. Erin says the costuming for the trial will be goblins, because at the moment the orc costumes are still presenting technical problems.
    Mystery Larp
This was supposed to happen a week or so ago – no-one turned up and they postponed it. Hopefully this game (which is a complete mystery even to the other Committee members) will be held sometime next month.
    Nibelungen
This is also apparently a closely guarded secret. Looking like it will be ready by the end of the year. Craig is having some problems finding staff to do things. Have been working on the weaponry, which unfortunately probably won’t be useful for many other larp games.
Mordavia Day Game – Winter Spite
Run by Mike, date to be the 8th July, Western Springs. Crew to meet at Mike’s at 2pm. Cost will be $15 for players, $5 for crew, and a $5 discount for NZLARPS members. Most of the money will be spent on food (as the park is not an amazingly costly venue) and perhaps some new props. There will be an Afterlarp party directly afterwards at Mike’s.
    Og game
The next one, due to the onset of winter, will be held in September-October. The organisation will be less chaotic – and we need more people! Steve needs to write more plot stuff and perhaps we might need another weapons and gear workshop. It is likely to be held in the same place and we will be starting a ‘carpooling’ thread somewhere on the Forum.
    Pirate game
Lucy has an idea for a Pirate larp in a bar on Tuesday September 19th, which happens to be International Talk like a Pirate day. We hope to be able to hire a pirate band and get the barpeople to wear pirate hats (if not full pirate regalia) We will be using some of the cool foreign coins that Mike brought back from his trip to Kathmandu as pirate money. We hope to get an official link to talklikeapirate.com and hopefully get a lot of other people interested as well! We might need rules for bar brawls and might need to buy pirate props.

  5. Stargate larp – SG21
This is starting to form up very well – the documentation has been approved. There will be a trial game on Monday at the Barracks from 10am, to test the combat system. There will be challenges, puzzles, patrols, and time issues. At the moment it is no guns, call damage. Future games will be played on Julianne’s parents farm – 42 acres to play in! This will be a full project with multiple events – episodes, this being the pilot episode. Players will not die (due to it being a training exercise) and will not receive XP, though they may develop their personality etc. Julianne is the project manager, and is looking for a treasurer. This will be a series of larps set in the Stargate universe – modern day – unlimited numbers of worlds to visit – no known game end. This is a completely new original game; some props will be needed to be constructed over a period of time. Game rights will go to NZLARPS, as will props. Walkie-talkies will be used, as may things like laser pens.
This was passed unanimously as a Project.

  6. Website
The blurb on the front page is fine, perhaps add another line or two.
Need to make a button to Contact President for meeting details
NZLARPS is to be in small caps wherever possible.
The faint text on the right hand side has been discussed and as it should be readable as is it will be left like that.
The layout is fine, we need a Documents page containing all our downloads.
Tone and personality seems fine as is, reasonably simple, upgrading it to a more complicated and prettified sort of outlook would not be worth it.
There will be a link to the Diatribe forum placed in the top bar and also Diatribe itself will get a line saying it is the official forum for NZLARPS.
We should have a link to our original Stone Golem movie, and perhaps think about making more short clips of our best monsters or costuming.
When all this is redone – the website will go live – voted unanimously.

  7. Newsletter
This will be done for this month. Any articles or reviews or tidbits etc. members want to put in will be gathered.

  8. Other Business
Possibility of going down to the World of Wearable Arts in Wellington (and perhaps a larp or two down there) in the holidays – 1-2 cars sent down, the sort of thing we should be showing off our better costumes at, and good publicity for NZLARPS too. We should also be trying to bring in special effects students and filmmakers.
Having a stall at Armageddon – we should make business cards rather than flyers because they get thrown away a lot less. We should have costumes and weapons to show off and maybe have a set of mini battles as a crowd draw. We need a nice long slideshow of great photos and some videos if possible.

Next meeting Wednesday 5 July.

Action points:
Julianne – write rulebook for Stargate SG21
Rhiannon – get receipt book to Julianne for use in Stargate larp
Mike – fill out Skirmish affiliation form
Craig, Rhiannon – research business cards
Mike – budget for Winter Spite
Steve – make closures/end of events form
Rhiannon – post letter to Motu Moana
Craig – talk to nzrag for possible affiliation agreement
Craig – newsletter and website (as usual)

I had to leave early. Soz.

I have a thought.

The World of wearable arts (WoWA) exhibition - how about making an NZLARPS posting baout this and seeing if we can get a group? Maybe we can get a group discount on tickets… we could work out cost for people (tickets + hostel + travel costs) and see who wants to sign up. We might get discounts for group bookings from hostels, trains, WoWA and so on. If we have a lot of people, hiring a minibus is a possibility or at least carpooling with petrol money (budgeted into the overall cost to people).

This will encourage people to come if they dont need to do all the tedious organising. And, since some people are going anyway, organising 10 tickets is not much harder than organising 1.

When you talk about small caps for NZLARPS, do you mean that it will all be capital letters but the “NZ” will be smaller?

Like this:

NZLARPS

Or maybe with the “NZ” in superscript, so that it’s higher up like in Craig’s logo?
