Seven members present (Adam, Rhiannon, AJ, Nikki, Anna, Mike, Ryan). Also Dylan.

  1. Previous minutes were accepted.

  2. Financial statement
    Lucy says she’s put in the money from Pirates, but it hasn’t appeared in the account yet. The money from Ravenholme is in promptly, along with event actuals sheet.

  3. Ravenholme – spent $932, gained $1005, so there was $73 profit. Some of the props money was left, and will be used to make a big thing for the next weekend game.

  4. Project proposals
    a) St Wolfgang’s Vampire Hunters – 13th century Europe Catholic Church secret society, to free the land from undead. A light-headed fantastical horror game, with a good blend of action and roleplaying. The first game should be near the end of August. The rules system is based on Mordavia. Want to be a Project, to hire gear, have a webpage on the NZLARPS page, and have large scale weekend games at Motu Moana – Hall and Keep but not the Inn. The first game’s budget expects expenses of $1260, and with 20 players and 10 crew, will bring in $1350. Expected profit is $90. Props used will mostly be from the Mordavia gear.
     Motion by Nikki to add SWVH as a Project, seconded by AJ: Passed unanimously.
    b) Couples: a rerun of the popular psychological realism Battlecry larp, made for six people (three couples). Tony Shirley has agreed to rerun his game at the community centre in Panmure. He will retain ownership of the Couples game concept. The game expects a $45 profit. To thank him we propose a free year’s NZLARPS membership.
     Motion by Nikki to run Couples as a Project and to give a free membership to Tony, seconded by Mike: Passed unanimously.

  5. Existing Project game proposals:
    Ravenholme, set in 1620– Romeo and Juliet had kids and lived in Ravenholme Manor and now all their descendants are dead the Montagues and Capulets are fighting over the manor. Want to hire Shakespeare Lodge – will be a bit more expensive and higher risk venue but hopefully worth it as it is originally a manor converted to a scout camp, as opposed to our usual scout camp converted by us into a manor. The budget has to be further worked out. Anna hopes to have a couple of costume workshops beforehand.

  6. Upcoming Larps
    Grand Battle – Have foam, enough for 20 swords, will make kits eventually. Ryan is somewhat busy at the moment, will go for it next year.
    Stargate – weekend larp in midwinter? Need logistics, and need to take photos for the cover of the next Immersion.
    Skirmish is underway with the new rules revision.
    Unity is in difficulties with the discovery of $360US+shipping cost for one of the main props. Will not be happening in June.

  7. Affiliation with One World By Night – Adam has managed to get in phone contact with Chris who has promised to return his email.
    Motion by Adam to affiliate with OWBN, seconded by Anna: passed unanimously.

  8. Trailer update
    We have nearly all the paperwork finished except for actually making a motion to go ahead with the purchase, and a formal resolution to be signed by the secretary, which will be done on Sunday. The forms can be sent off in the next week.

  9. Project flow diagram has been done but has not yet been showed to the Committee.

  10. What Now contacted NZLARPS to ask if we did any larps for kids or teens that they would be able to run a feature on. We will run a special Kids Skirmish as long as we get a copy of the filming as part of the deal.

  11. There have been two new memberships money going into the account. A test to email the secretary@nzlarps.org still doesn’t work properly.

  12. Gear update – The new gear from Ravenholme, mostly rugs, was apparently just thrown randomly into the back of the shed. This is not good and next time gear will be properly put away!
    We need a proper first aid kit to take to weekend games in case of emergencies (and a first aider to use it).

  13. Internet update – Craig not here.

  14. Immersion update – need a photo shoot for the cover. The articles are coming in – there’s always room for more in this and the next. Needs to be done in PDF format not Word, hopefully that will fix the margins.
    Idea brought forward to approach the Medieval Shop and/or other useful shops like fabric and costume stores for sponsorship of Immersion for their ad as the back cover. This could substantially reduce the budget needed for production of the magazine.

  15. Excel project document hasn’t been done either, but it is shortly going to become superseded anyway.

  16. Meetings are now going to be the first THURSDAY of the month.

  17. Other Business … none brought up.
