Fourth NZLARPS Committee Meeting

4th January, 7.10-8.50pm

  1. Minutes from last meeting reviewed and accepted.

  2. North Head game
    Adam scoped out - North Head is run by DOC, some of the closed tunnels at Kennedy Park may be available through a contact with NSCC.
    In the past there has been a very successful family walkthrough game - would bring in a fair profit. Other possibilities are - overnight LARP, a Mordavia-type game perhaps involving an Orc Boil. Idea-storming will be done on Diatribe website.

  3. AGM/Prelarp
    Decided to combine the AGM and Mordavia prelarp. Will put the Constitution to the general meeting -questions on clarification only, yes/no vote - no on-spot edits. Not sure what venue would be best… Covert Theatre KRd, Community Centre, School Hall, Craig’s loft, Mike’s place, and the Kiwi Music Cafe (so far the best option)… vote on the Diatribe forum.
    Budget of $100 for the AGM to get soft drinks, nibbles, pizza etc. Motion passed.
    Probably going to be on the 1st of February, though that may be subject to change on venue problems.

  4. Nightmare Circle
    A special affiliation - more ambiguous agreement. NC get the ability to borrow or hire gear as long as it is not in use, NC get more clout with getting venues etc., NC may possibly be able to get NZLARPS discounts with costume suppliers, may get a webpage on the NZLARPS site. NZLARPS will get bigger as a community, gain more members, and perhaps be able to borrow or hire gear from NC.

  5. Costume Supplier - Malefoise
    French supplier, based in India (no factory, just one or two tailors). They only started recently, so are inclined to agreements to spread connections and sales base. They could give us bulk discounts, and perhaps membership discounts. We could give them banner ads, and use them as the primary costume supplier when competitive prices apply. The articles are amazingly well done, very good material and quality, and they can tailor articles to particular dimensions and colours as well as general sizes. Method of payment is online w/ credit card.

  6. Final constitution document
    Constitution document passed without comment, will be voted in/out by AGM.

  7. Short games
    Greek game - no word from Derek.
    Battlecry game - NZLARPS has been given a slot from 2-6pm on Sunday 12 February. Will use light gear that can be put on easily - tunics etc. Perhaps have two shorter games, or several parties with various objectives. Perhaps need player GMs in charge of steering each group. Limited spaces for players. Perhaps have GMs giving vouchers for half price off joining NZLARPS to players, and “Come to Berium and continue the game!” Also have a stall on the Sat and Sunday, with discount flat rate $10 joining fee.

  8. Og update
    Either north end Piha beach or further south Whatipu beach (more difficult to get to). Scenario and plans done, gear and costumes still to be made. To be an evening game, from 4-7pm (sunset 8pm). Date Sunday 5 March.

  9. Should we have a membership cost?
    Went over Ryan’s idea. Decided that yes, NZLARPS does need to have some kind of membership fee.

  10. Will there be a Mordavia Afterlarp?
    Leave till February to organise (shelve till AGM). Likely in March. Perhaps a BBQ in the park?

  11. Next Newsletter
    Will be done by Craig as usual. Will feature Mordavia, Og, BattleCry and gear workshop.

  12. Update on website
    Craig bought area (www.nzlarps.org) and extra space on holding account. Nothing more achieved so far, having problems with database and Ryan is away.

  13. Other Business
    Logo - Will pick 3, discuss on the Diatribe forum, and have final vote at AGM using rank and total method.
    Health and safety guidelines - will be written up and looked over, distributed to new GMs etc.

Have Kiwi Music Bar. They weren’t too concerned about how much money we put over the bar. I didn’t tell them an exact time, I’ll call with that when someone here confirms it - I got him to put down “probably 6pm” for about an hour and a half or two hours. That should be enough time to do a bit of pre-larping stuff and get the constitution ratified. But I also (just noticed) we hadn’t checked the date with Ryan, the game’s lead storyteller, if he wants to hold the prelarp that day and there…!

Will hold off advertising it as such until he gives the thumbs up.

But we have a venue and a date so we’re as good as there!

6pm is a reasonably difficult time to get into town (traffic etc), so shall we say that the AGM starts at 7pm, and that people can gather from 6 onwards ?

The problem for me moving it later is I have to get home before 10 (otherwise I won’t legally be allowed to drive) and its an hours drive home. What about moving it to 5pm if you’re worried about being able to drive at 6? Most people finish work then.

Aye, but then it’ll take them some time to get to the place as well. I think 6 is probably a decent time to ask people to turn up. Probably start around 6:30. There’s pizza to eat, too. But we haven’t talked about the format of the pre-larp either so we don’t know…

If I go straight from work, I will get there at 6pm. No earlier, please…
