Meeting to discuss Committee and Structure
Of Mordavia and further Organisations
28th July, 7-10.30pm
Goals
Short-term – Support Mordavia
– Support LARPing
Long-term – Promote LARPing Community
– Promote new and existing LARP games
– Open-minded: no restrictions in types of LARP games
– Share assets, knowledge (now and future)
Structure of Organisation
Choices:
A – Mordavia Committee
B – LARPing Committee and sub-committees including Mordavia
C – LARPing Committee and affiliated groups including Mordavia
D – Mix of options B and C: LARPing Committee with sub-committees (including Mordavia) and affiliated groups
Voting: 11 people
B – 1
D – 10
No abstentions
Structure of organisation determined to be an overall LARPing Society (called something like LARPS) with an overall Committee, and sub-committees/project groups for games such as Mordavia, and also with affiliated groups such as Nightmare Circle and Skirmish, with individual people as members of the Society.
Assets including money and gear will be shared by the Society.
Sub-committees will prepare a budget for upcoming games, which will be approved by the Committee, and the requisite money and gear will be made available. Any profits taken by the sub-committee and any props made for the game (that are not individual property) will go back into the general assets pool.
Affiliated groups (which must be already established) may apply for assistance such as minor funding, gear lending etc. for Society member benefits such as discounts on affiliated games.
It is likely that any members wishing to create a new game will do so as a new sub-committee within the Society, due to the established asset base available.
Suggestion to become an incorporated association
Pros: – Get funding from government
– Top people are not personally liable
– Possibility of tax free, GST return
Cons: – Must have a constitution
– Annual accounts must be registered with government
– Must have wind-up procedure and rights to common seal
Motion passed unanimously.
Internal structure of Society Committee
Core members: – President/Chairperson
– Secretary
– Treasurer
Other Committee positions decided on as necessary:
– Project Co-ordinator (a little like a GM)
– Gear Librarian
– Community (H.R. person, organises social ‘glue’)
These six positions unanimously agreed on (after much discussion)
Also, two ‘Generics’ on Committee to take on roles as necessary voted on 9-2 in favour.
Mordavia Sub-committee
Core members: – Logistical Organiser
– Treasurer
– Gear Organiser
– Head GM
These four roles were determined by general consensus. If necessary roles may be merged or split at a later time or delegated on a case-by-case basis.
In the short term it is likely that the Society Treasurer may also take on the role of Mordavia Treasurer, and likewise for Gear Librarian.
