Minutes for June 2007 Meeting of the nzLARPS Committee

Whirlwind meeting, whirlwind minutes.

nzLARPS Committee Meeting 14/06/07

Previous Minutes
Accepted unanimously.

Financial Update
Steve was absent. A look at the bank account online revealed that there was money to spend.

Pirates Money
The money from March’s pirates game has still not been received. It needs to received. Discussion on what kind of consequences to impose on game organizers who do not meet the financial obligations. Due to low committee numbers, a decision was put off to next meeting.

Previous Larps
There were few to discuss. Nightmare Circle’s last game had a good venue.

Stargate Budget Proposal
Incomplete as of the meeting therefore deferred to online voting and discussion.

Upcoming Larps
AJ the Project Officer had received no updates. Ravenholme having difficulty gathering players.

Internet – New Homepage
Decided against. Will just update with new content, homepage should match rest of the site stylistically. Will integrate a “Show me the larp!” page which will outline the larp campaigns we have on with photos etc.

Internet – Putting a prominent link to nzlarps.org at the top of Diatribe
A good idea but need to make it work visually, which is difficult due to clutter. Decision to put up a rotating banner for nzLARPS: “Had enough talk? Get to the games!” To be implemented in the coming month.

Internet – Welcome to Diatribe
This is a good idea and will go ahead.

Marketing – Anna’s Ideas
nzLARPS need to establish a working marketing plan before going out and spending on glossy posters etc. Decision to go forward and set up a corporate larp-for-hire ‘murder mystery’ night group within society with paid employees. Working title: ‘WorkPlay’

Trailer
Still nowhere secure to store so we cannot apply for the money.

Project Flow Chart
Worries about it scaring people and making us look bureaucratic. Make it available but don’t force it on people. Maybe write a step by step outline to go with it.

What Now TV
Despite the emailing us, when Mike got in touch with them, they were no longer interested. Ah, fickle showbiz. Mike has idea to run a Kids’ Skirmish a fundraiser split between a charity and nzLARPS.

New Members Process Confirmation
Secretary email redirected to President.

Immersion update
Almost ready to print. Nikki to ask Medieval Shop for money.

Email Mailing List
Good idea, need Craig to set up technical aspects. Use nzLARPS and Mordavia email address to have an opt-out emailing list.

Buying a printer
A printer will save the society money in the medium term. It will pay for itself and is useful for many larp related things. It will be stored at Anna’s place.

Motion: Moving we spend $700 on a printer such as mentioned on Diatribe subject to it being purchased and worked without the colour cartridge. Ryan. Mike seconds. Unanimously accepted.

Other Business
Next meeting to discuss committee process.

It’s worth mentioning that a majority of the committee subsequently voted online to spend a bit more than this to get a colour printer with duplex booklet printing included. The $700 was for a printer that turned out to need an extra bit of hardware to print duplex.
