Minutes for July 2011 Auckland Committee Meeting

Present: Mike, Rowena, Cameron, Malu, Anna and Tigger

Malu hasn’t received money for cooking for Teonn yet. Anna will check into this and sort it out.

Action points from last meeting will be discussed online when we have net access.

Witchhouse

Tigger confirms that the last player payments have come through for witchhouse
Financial Actuals are still coming, had been waiting for the final payments.
Awhitu has been booked for next game - 7-9th October. Tigger needs to pay $100 for deposit.
Rowena proposes the motion that NZLARPS pays the deposit, Mike seconds,
4 votes for, 2 abstainations (Anna and Tigger). Motion passes unanimous

AGM
AGM to be held in September. Usually mid to late in the month.
We would like to co-ordinate with Wellington so we can ensure Naional AGM also goes ahead well.
National voting options via postal ballots or email.
Venues - we need to look into options so it isn’t people being squished into Rowena and Dave’s living room again.

Finances
Accounts are finished, as much as they can be given accounts are an on going thing. What we need to do is analyse the accounts.

We are going to talk to BNZ, and if they are not willing to give us a fee free account then we are going to switch banks. We know that ANZ and National offer non profit organisations an account such as this.

We have a good amount of money in the account, as people have been paying in advance for Teonn, and the bills don’t need to be paid for a while. What we need to do is work out what all the money in the account is from/for. This will be sorted for next meeting.

Great Exhibition
Anna wanted to see if it would be possible to cold recruit people for a larp. This worked, we got a lot of new players, and most of them turned up. We engaged the new people as much as we could via facebook and emails etc. There has been a lot of really positive feedback on facebook and several have signed up for Chimera. Overall it was very sucessful

Armageddon

We think that we can afford to pay for this, we will have a better idea once the accounts are finialised
Great Exhibition showed that we can get new people along to a larp. Lets see if we can do it on a much bigger scale at Armaggeddon.
Thinking about Flight of the Hindenburg and Reunion larps. Need to confirm permission from the writers if we go with these.
We need to have very professional promotional materials. Anna to discuss teonn options with teonn GMs.Anna envisions photos all over the booth walls.
Malu suggests that we see if we can get some photo students to take photos for us, we get photos, they get photos for their portfolios.

We need to have a budget, and then we can approve this online. Negotiating with Armegeddon on costs.

Teonn
Anna proposes that we pay the teonn deposit for venue, Mike seconds
The motion passes unanimously

Teonn accounts have been emailed, but we can’t open it tonight as internet is failing. Anna will attach them online for us to view.

New Horizons
We still need the actuals from Nikki. We need to chase up the few players that didn’t pay.

Chrono Continuum:
Again internet not working so we can’t get into the email. Blair will send us the actuals.

Multiverse
End of this month. Mike is going to post the budget online for approval

Chimera
Doing very well. Close to selling out. Saturday morning is the weak spot at the moment. Looks like we’ll have 130 people.
External makeup artist coming for Gordion knot, 2 or three photographers.
Elle doing catering.
Prizes donated by Michelle Burt and Borders Albany, spotlight.
Auckland requests permission from the national committee to donate 6 memberships for spot prizes. Cooks will get a koha . Gift budget is $150.

Gordion Knot needs more volunteers. We discuss the idea of getting a volunteer just for help sending emails out of planet info etc .
Mike suggests a working bee for sending out emails. Flagship team are to meet and tell us what they need. Mike will talk to the team and give them his project management experience to find if there are any areas that we can assist with.
