Minutes for February Auckland Committee Meeting

NZLARPS AUCKLAND COMMITTEE MEETING - 2nd FEBRUARY 2012

Minutes:

-Teonn Catering receipt received.

-Knightshade Actuals: The discrepancies in this were explained and has all been sorted.

-Committee agreed to refund Tigger for a tire blown out at Witch Houselast month this has been received by Tigger.

-Financial forecasts for Teonn May game. Teonn GM’s explained that it would be difficult to give a more thorough break down of the budget at this stage, instead the will communicate more with the treasurer over the months coming up to the game about what they plan to use the props budget on. They will also put more money aside for cleaning supplies.

-Accounts. Anna has been creating a new written process for budgeting and purchasing. This will include a new system for get money out to the organisers and caters of large games. The possibility of having separate bank accounts for large events like Teonn and Chimera were discussed as this would mean that GM’s and caterers would be able to keep even money separate from their personal money.
Action: Anna to look into this and recommend a course of action.

-Running events at Motu Moana. Several issues were raised about running events at Motu Moana, including how NZLARPS deals with the rubbish we generate there and our interactions and relationships with the camp management. After incidents at previous events there where areas have been reported as cleaned when they weren’t the council discussed the importance of experience when getting people to be in charge of areas for clean-up and about training up others to have this experience.

-No Shows: were discussed again after putting the issue on Diatribe last month.
Action: A thread will be created in the GM only forums that list people who do not show up to events without letting the GM know (excepting serious and unexpected incidents) for future GMs to refer to.

-Wellington have requested that Auckland donate any spare costumes. The issue was raised that we may not have any surplus costumes. A gear rationalisation day was organised for Monday 6th February and at this point we will be able to identify items to be sent down. There will be some working bees in February to replace this gear before the March Teonn day game.
Action: Muppet and Cameron to identify gear to be sent.
Action: Muppet to contact Bryn about what he wants.
Action: Bryn to organise shipping.
Action: Anna to organise replacing the costumes.

-Chimera database: Mike is currently sorting with Ryan.

-Multiverse Actuals were submitted.

-Chrono/Teonn Clash: has been sorted.

  • Adam is organising a “Larp combat training session” before the next Teonn- May 12th, One Tree Hill probably.
    Action: Adam to submit Proposal.

-Hobbiton: The potentials of Hobbiton as a LARPing venue were discussed. Everyone thought it was a great idea from Jared. The viability of using it as a means of fundraising, advertising, and for getting more overseas visitors in was discussed.
Action: Cameron to see if he can go and check out Hobbiton with Jared when he goes.

-Player Code of Conduct (PCC): There was discussion about whether NZLARPS felt the need for a process for dealing with unacceptable behaviour by GM’s and Players. This would be a fall back point for ensuring fairness. The majority of the committee felt that it would be a good idea, but wanted to put the proposition to the wider community before deciding on anything.
Action: Mike to get a wider community discussion going regarding this on Diatribe.
