Games account forms

I’m looking at the whole NZlarps accounting system, and will probably end up modifying the standard forms to use for the Game Forecast and Game Actuals.

If anyone wants to have some input or give feedback on what is good or not about the way they are done, now is your chance.

Looking back at old records, the one thing I notice missing is the game date. And possibly the venue.

I’m also thinking of compiling a NZLarps Assets Register, so major bits of gear can be listed. Any significant purchases made for a game I would also like to see listed on the Actuals. For example, set of radios and batteries, 4 sets of claws, coloured gels for lights …

Also which format is easiest for people to work with - word document, excel document, pdf for a paper version? Or what?

Good idea. More information makes it easier to trace what happened.

Yeah, anything that can be identified as an asset. Also, we need to keep track of anything that is held by anyone who is not the nzLARPS Equipment Officer (e.g. the space suits that Craig Neilson possesses).

I stopped using the “standard forms” a long time ago. In fact, I don’t think I’ve ever used the standard forms. Basic addition, subtraction and multiplication is about all I can manage so that’s what my versions of the forms got reduced down to. I also tend to submit lists of detailed breakdowns of expenses, detailed lists of income and anything else I think might help the treasurer in deciphering the money trail of the game.

I personally like working with Excel spreadsheets because I can set them up to do my maths for me and I can work on forecasts and budgets by plugging in numbers for various contingencies.

I like the idea of an assets register.

I think it would also be helpful to provide a word document on how game forecasts and actuals work, or maybe a more general “The nzLARPS Funding Process Explained!” with a section on how to fill out the forms.
