NZLARPS MEETING MINUTES DECEMBER 2008
Meeting opens: 18:45
Present: Anna, Hannah, Gaffy, Nikki, Juliet and Vanya
Apologies: Kim
Last minutes: Unanimously accepted
NOVEMBER ACTION POINTS:
Hannah discussed the old cheques with Steve and she says that the $80 one, is an old Mordavia cheque. The money for this made its way into the NZLARPS account in a different format so can be discarded.
The $30 one is the Company of the Lance, who bought the back cover of Immersion. Hannah will approach the Company of the Lance and ask them to write a new cheque, however, as the COL are under new management, if they refuse then NZLARPS will have to take the loss.
Hannah has also successfully received the actuals from Knightshade.
Anna successfully emailed Gaffy, Patricks email address.
Juliet is still looking into the coders for the image gallery.
Nikki and Hannah are both now signatories for the NZLARPS account.
FINANCIAL UPDATE:
Inferno had a $265 income, a couple of player fees still owing and one refund owed.
Trinity made a $337 profit
Knightshade made a $42 profit
Multiverse made a $78 profit
The trailer’s new WOF cost $80 and this includes registration and a spare key that was made.
Gaffy is to find out what the state of insurance is on the trailer, as no outgoing payments have been found for this.
Hannah will be creating financial packs for game organisers of NZLARPS projects that we can hand to them, and has all of the necessary documents in them to create forecasts, keep records and provide actuals
Nikki will look into free community post possibilities.

NZLARPS have made the decision that refunds of player fees will be handled in the following manner:
If you have pre-paid for a game and for some reason you can not make it, you must make all effort to update the individual project that you can not make it.
Then you must chase NZLARPS/Project for the refund of your fees. NZLARPS reserves the right to deny refunds or to refund only 50% of the fee. This will be assessed on a case by case basis.
PAST LARPS:
Multiverse – this was a fun experience, more role playing this time. Did get interrupted by some drunken teenagers wanting to join in.
Inferno – good game. Only minor injuries but otherwise a very intense experience.
UP COMING LARPS:
Knightshade - 14/12/08
The Nightmare Circle – 19 - 21st December 2008
GEAR UPDATE:
We are looking at the second weekend of January for the Gear rationalisation
Keeping an eye out for Christmas deals on plastic boxes
Core flute harvest for shield on 7/12/08
JOUST:
Still looking for at least 4 more people to help at the gate
Please keep saving newspaper for Knight school
Anna will check in with Nick before the next meeting for an update.
IMMERSION:
Progressing slowly but hopefully will be out by mid December. Not that many writers stepped up this time.
OTHER BUSINESS:
Muppet visited us and spoke to us about Battlecry.
There looks to be an exciting set up. Online registrations are open on battlecry.has.it
The flagship larp on the Friday night (Battlecry runs from 21- 23 February 2009) is being run and written by our own Anna. There are many more larps offered over the weekend, including but not limited to, the premier of the Star Wars larp and Bad Dreams which was a success at Chimera.
Muppet is looking for anyone who is willing to volunteer just to be helping hands on the weekend and if you are interested please email him on muppetbrown@gmail.com
Battlecry is happy for NZLARPS to include our promotional cd in the goodie bags but these must be given to them at least 1 week prior to the 21/02/09.
We have set a deadline to have the CD’s done (create and burned) by 7/02/09.
