Committee Meeting - 29th March

The committee has decided to hold an extra meeting this month to cover some things we ran out of time for at the monthly meeting, and some things that have since come up. The exact date is being decided on the committee forums to allow for maximum committee attendance.

When: Thursday or Friday (25 or 26/03/10) at 7:30pm
Where: Rowena’s House (2A/2 Ewenson Avenue)

Agenda

  • The SGM - make final preparations for the SGM, confirm motions, venue and email out the required advertisments.
  • To discuss Adam’s role as treasurer in light of recent concerns raised by society members and committee members

All members of the society are invited to put forward their views on these matters.

Would it be possible to NOT hold your committee meeting during the Multiverse weekend game, which begins on Friday ?

Adam is attending this event, and I am at a loss to undestand why the committee would even consider this as a potential date.

If people can’t make Thursday, how about sometime next week ?

I’m sorry, Mike, that’s a very valid point. The committee is opting for Thursday at this point, but if it’s not feasible for everyone to be there, we will postpone to next week rather than do Friday. At this stage, no one has asked for a third option, and we are only waiting for one last vote in the date poll.

Having the meeting next week isn’t an option as our agenda includes finalising preparations for the SGM. In order to have the required notice period, the meeting needs to happen by Friday.
I for one don’t want to have to postpone the SGM again.

Is Wednesday an option? Do both of these things have to be covered by this particular meeting?

Just a thought, but perhaps in keeping with Ryan’s very valid suggestions on transparency, some form of discourse on the preferred or potential when and where of the SGM would be a good idea, rather than trying to push for a given date that no-one outside the committee seems to be aware of. Plus, given the nature of that mini agenda, I would dare suggest that it’s more important the meeting have all committee members present, rather than force a potential conflict with another NZLARPS event, which really is a bit disrespectful…

Dave, the SGM isn’t a mystery date no one is aware of. It both in the minutes and the front page of nzLARPS. And every member of the society was going to get the 14-day notice late this week as a result of this meeting. As Rowena says, deffering this meeting would mean pushing the SGM out once again, and we’ve already been postponing it for long enough.

However:
I will propose to the other committee members that the SGM be pushed out to Monday 19th April, when it will definitely happen, short of epic natural disaster, and that this meeting be postponed to a date convenient to as many as possible next week.

The committee meeting will not be tonight, but has been defered to next week Monday as tonight was too short notice for society members who wished to attend.
