Auckland Regional Meeting - Wednesday 10th October

The Auckland Regional next meeting is this Wednesday, the 10th. All members welcome !

This will be the first meeting of new committee, so the meeting will be focused around planning for the coming year.

Venue: 4/49 Western Springs Road, Morningside (entrance is via driveway off Finch St, take the stairs as unit 4 is on the first floor)

Part of the gear planning will be to discuss approaching Auckland Council to lease storage space. I have the contact details of the current guy to contact and am posting it here for futre reference. The Community Facilities Officer is Detlev Jackson (Detlev.Jackson@aucklandcouncil.govt.nz)

Here is the gist of stuff to be considered:
Please carefully consider the information provided below to determine if a community
occupancy agreement is the best accommodation option for your group.
The following list outlines many of the costs and terms and conditions associated with
leasing a facility/space from Auckland Council:
[ul] you many be charged percentage rental if you generate significant revenue over
expenditure from the facility
[li] your group will be responsible for security[/li]
[li] power, phone and water is paid by your group[/li]
[li]cleaning and rubbish removal is your groups responsibility[/li]
[li] your group is expected to insure its contents and have public liability insurance[/li]
[li] you will be expected to pay a maintenance fee of between $250-$1000 per annum,
depending on the size of the building you occupy[/li]
[li]if your group owns the building you are also expected to insure the building[/li]
[li] if your group owns the building you are responsible for structural maintenance and all
costs involved in complying with legislation such as Building Warrant of Fitness, Health
and Safety in employment, fire and egress regulations[/li]
[li]there is an expectation that you will “share” your premises with other community groups if
appropriate[/li]
[li]you must provide activities, services or programmes that align with and promote strategic
outcomes for the community as defined by the relevant Local Board through its Local
Board Plan1[/li][/ul].
Please note, if the leased area comes within a shared facility (i.e. community hall or centre),
some of the above responsibilities will be carried out by Auckland Council but will be on
charged to the group on a pro-rata basis.

That looks like a primo idea.

Would be especially cool if it ended up being a space we could maybe play some games and hold meetings in too.

And/or if it was in or adjacent to a park. But those are bonuses, obviously storage space is the main thing.

Seems to require that we have public liability insurance.

The suggested prices look great, ranging from $250 for what could be a large storage space (10x10m) to $1000 for a space the size of a large hall (500sqm).

Did we ever make progress about acquiring council space for storage? I can see some committee action points after this but not sure if it went anywhere.

Acquiring some sort of club space from the council would be awesome. Not just for storage but for workshops, meetings and games too if there was enough space. A club house type thing.

I know an independent insurance broker quite well, should I ask him to make a quote for the insurance?

Yes please Linda, that would be helpful.
And Ryan you are correct that this has fallen off the radar, but still could be useful.

A club house would be a massive game-changer for Auckland larp. So to speak.
