Present: Cameron Burns, Hannah Jackson, Clare Stones, Mike Curtis.

Actions arising from last meeting:[/b]
• Hannah: Invoice for $500 for gear storage, to be obtained from Hannah’s mother: Done
• Anna: Accounts: What is Accounts Receivable section of financial report composed of? – Anna not at meeting, to follow up next meeting.
• Pay Michelle back for petrol/parking for Armageddon: Michelle not present, unknown if actioned. Follow up next meeting
• Anna: Obtain info about different banks, with a view to making a decision about which bank to change to: Anna not present, unknown if actioned. Follow up next meeting
• Clare: Pay back for food purchased at gear day- think this is done? Checked after meeting: Yes, payment has been received.
• Hannah: Post pictures of gear which we are deciding whether to discard or not online: Not done as distracted by Teonn preparation.
• Hannah: Post an auction for Saloon doors on Trademe: Not done
• Cameron: Purchase sturdy boxes for gear storage: Done
• Rowena: Bring vaccum cleaner to Teonn: We think this was done. Also, on site vaccum cleaner at Stedfast Park worked well!
• Hannah: Investigate/research vaccum cleaners during boxing day sale, for possible purchase: Will need to wait till boxing day to action
• Rowena: Bring tarps to Teonn, to protect carpet in crew room- Done
• Hannah: Investigate Norm’s radios: Not done, too busy at Teonn
• Mike: Enquire about advice from someone with professional counselling experience, regarding the letter received: Enquiry sent but no reply yet.
Action Point: Mike to follow up about advice.
• Hobbiton- look into finding a project manager to organize event. – Not done, as no-one was assigned to take on this action point.
• Investigate grant for cage trailer: Not done, as no-one was assigned to take on this action point.
Action Point: investigate grant sources for cage trailer.
Winterdale:
• Actuals and finances have been received. Committee is satisfied this has been satisfactorily resolved.
• Understand delay in receiving actual and finances is due to Zara expecting baby.
• Mike: Need to remove dates from calendar for future Winterdale events, if events not going ahead. This is so other projects can use those dates.
Action Point: Mike to contact Zara to see if she still wants to run events on the dates specified on the calendar. Does she think the calendar as it is, is realistic, given her impending parenthood?
Also find out:
- Does she want to put the game on hold?
- Does she want to take on a co-GM?
Financial Report:
• No financial report, as Anna is ill and therefore could not attend meeting.
Marketing Report:
• Rowena absent, therefore no report.
Gear Report:
• 50 pieces of new costume obtained as a result of Teonn. Hannah purchased trousers, tops etc for it.
• Clare: Lots of cool clothes in crew gear.
• Hannah: 11 new weapons from Paddywack.
• Hannah: Brent said leather armour is in poor repair.
• Cameron: With the aluminium chain which is falling apart, we could stitch pieces of it to the end of sleeves and the bottom of tunics, to make it look like there is chain underneath. Would solve the problem of chain falling apart, since we think this is largely due to weight of chain.
• Hannah: Food processor instructions have been laminated.
• Hannah: Code of conduct written into friendly language by Scott and Hannah, and printed and laminated by Scott, and bought to Teonn.
• Hannah: Gear for Teonn:
- Packed well after game, and sorted for washing.
- Last day game- lots of gear washed- perhaps un-neccessarily? Not sorted straight after game
- Could we try to be consistently good at sorting out dirty/wet gear from clean/dry gear?
• Mike: - Maybe we could wash a box each game- as a rotating system?
- Maybe put wet stuff in bag, then put in box, then take box to be washed, and just wash stuff in bag? Would only put stuff directly into box if 100% dry.
- Need to ensure that washing gear (especially wet gear) after games becomes part of NZLARPs culture.
• Cameron and Clare: the person looking after Stedfast Park this weekend helped crew the game
• Cameron: Next gear day, we should focus on armour
Games:
• Bad Dreams- Trust- Cancelled, due to not enough players
- Lesson: Be careful in future, when scheduling Fri night larps near Teonn.
- The combination of end of year, Christmas in the Park, conflict with Phoenix Rising, and Trust being a niche larp, would all have contributed to not enough players.
Letter:
• Haven’t received any feedback from the community.
• Scott mentioned it at Teonn, during the pre-game briefing.
• Code of conduct also talked about at Teonn pre-game briefing.
Upcoming games:
• Witch house has been advertised for next year.
• Mike thinking about running a Skirmish game.
• Cameron: We don’t have any games for 12-16 year olds.
