NZLARPS AUCKLAND COMMITTEE MEETING – 2nd MAY 2012

Minutes:
• April’s minutes
o Newsletter is still being worked on.
o Player code of conduct:
 Anna will do next month - still being worked on.
 Mike still to talk to Scot about time lines - still being worked on.

• Hobbiton
o Jared has been really busy and unable to meet up to go visit Hobbiton.
o ACTION POINT: Mike will call and ask Jared if he minds if the council can take over making contact and negotiating with the company.

• We discussed diatribe names and how it is getting harder to put names to new faces with so many new faces

• Financial report
o No report - treasurer sent apologies

• Marketing Report
o Aether and Iron was a success. Cameron and I were there all day, and handed out quite a few NZLARPs business cards, and talked to a good number of people who seemed really interested in LARPing. Definitely a good day all up, which will hopefully result in a few new LARPers showing up- interest was shown for both Teonn and Chimera. The banners that showed up too late for Armageddon last year look really good, too.

• Gear
o Has all been moved to Mike’s place. This is temporary.
o Derek and Jordan have agreed to help erect the shed at Hannah’s mum’s place.
o We discussed if storing the gear at Hannah’s Mum’s place is short or long term.
 Hannah’s mum is thinking that if the shed is going on the concrete pad then it should be there up to the end of the year, if it is longer than we should look at putting it down on the slope.
 If it is going to be short term (up to end of year) then Hannah’s mother is happy to do this for free, but if it is going to be longer than that then she would like to see something like a monthly monetary payment for storing the gear there.
 Doing it properly to start with and set it up for one or two years.
 ACTION POINT: Mike to organise a group to set up the shed at Hannah’s mum’s place. Looking at a weekend in May, trying to get it done before Teonn. Agreement will be liased on the day by Mike, Hannah, and her mum.
 ACTION POINT: Mike to talk to Shed people to get more screws and another set of instructions.
 ACTION POINT: Mike to Source Giant van from theatre group to transfer gear to Hannah’s mum’s place.
o We discussed avenues for financing buying storage.
• Game Proposals
o Maelstrom
 Will need to let people know that this is not associated with the Maelstrom larp in England.
 Will be put up online for voting on.
 It will need to have the budget submitted with it.
o Proposal for Wikki from Mandos
 He has a server he could hold a wiki for NzLarps on it. The advantage is we could have all our stuff on one site, anyone can add stuff on it.
 Downsides: Possibility of server shutting down, difficulty in GM’s having time to keep it updated.
 There was some confusion about what and how it would be used. Hnnah explained about how it has worked for Mandos’s other groups.
 Over-all feeling is that NZLarps could get this hosted for free, and on-going costs for something needs to be approached cautiously with the looming need for gear storage in the near future.
 So we will not go for this option at the current time.
 ACTION POINT: Mike to talk to Mandos about this.
o Winterdale: Changing of the Guard.
 The budget and event proposal is on diatribe and council members need to go and vote on it.

• Upcoming Events
o Teonn
 ACTION POINT: Muppet to contact Anna about paying for things for upcoming event.
o Defense of Mariumberg
 All good and chugging along. 8 confirmed attendants.
 ACTION POINT: Adam to get money from Anna to buy stuff for this.

• Meeting Closed: 8.48pm

In all honesty it might be best handled as NZLARPS project organised by the committee itself. I would still like involvement (it was my idea after all), part of the issue with organising this has been that I am a little isolated from the nzlarps council / comittee and would have needed member assistance regardless.

If Mike can call me later this week then we can discuss my ideas and how we might go ahead with this.

Ah! Maelstrom can certainly be re-named to avoid confusion.

That was just the first name that popped into my head - It’s not the end of the world if it’s changed. :smiley:

Keep it. After all, kick-arse names are in relatively short supply and I’m sure larpers are capable of sharing :wink:. The putative confusion would occur if someone was searching for the UK Maelstrom larp and stumbled across diatribe’s Maelstrom thread instead. Sufficiently hypothetical to not really be worth worrying about, IMO.

But when Jackie’s game is so awesome that we want to turn into a campaign, things might get a bit awkward. I figure there’s no point in potentially pissing off some UK larpers for no good reason (cos really its a small worldwide larping community really). If you’re not attached to the name, I suggest change it. IMO. Or at least make it The Maelstorm.

I don’t think the UK Maelstrom people would be fussed. The folks who run it are easy-going. There has also been a UK tabletop RPG by this name. Confusion will be minimal because the larps are in different countries with almost no likely cross-over in player base. I also suspect the UK Maelstrom campaign will also end one of these years - that’s what they did with their previous campaign, and the company that runs it (Profound Decisions) already have another campaign running (Odyssey).

Hi All, I was still formulating an overall strategy to present to the committee so bit surprised this popped up but the actual details are below. It would be very different from the other Wiki’s I support.

The reasons for it is that there was an idea floated from Tigger that a Wiki would be useful for a campaign game as the GM’s could refer to and see all the characters in one convenient place as long as the Wiki could be set up securely to ensure plays couldn’t see other peoples character details. There is no cost for doing this, I just need someone from the committee to provide some details so I can get a Not-For-Profit license for the Wiki software I think would work the best.

Overall I am working on a consolidation plan that would allow different games to have their own websites with the same game sign-up platform which would auto-generate a calendar. Each site could also have it’s own features such as Wiki’s and Forums if required.

I have concerns that having each campaign with it’s own site, differing methods of signup and no clear idea of what is on offer at any given time is a confusing turnoff for new players and a cohesive simple solution that works for GM’s and players (both technical and non-technical) is actually relatively simple to achieve and beneficial to the community.

There are numerous sites offering free wiki software. Why not just use one of them?
