Nzlarps Auckland meeting Wed 8th Dec

Anna has a Marketing Plan

Cameron wants to make a suggestion and then gets shot down – he suggests anyway that we don’t include games that are finishing up. It is suggested that we include them until they finish.

Armageddon: Prepare in July. National would need to talk to Armageddon and find out costs for stall. If we can get a stall then we need to really think about how to promote us effectively. Also schedule an event for the weekend afterwards so we can hook people in early. Need to have the absolute best costumes there. National marketing officer should get a project team around them. Probably need a lot of people to get involved and we need people to commit. We also need to get people with the right personal skills.
Paddywhack? Perhaps Ryan would want to get kids swords in and sell them? Is the price point to high for casual sales? Medieval shop sold wooden swords for $20. Wizard capes? Possibly too many other places that can buy costumes from at this time of year. Knight school? Such as we did at the Joust. Wil doing things for kids raise the profile of larping in a way that is beneficial?

Teonn made a profit of $1190.

Still awaiting for receipts from Joel and from Chantelle.

Nikki proposes that as there was a profit, we should give Joel and Malu koha for all their hard work. Anna proposes $200 each. Mike seconds. Malu Abstains. Vote passes with 6 votes.

Budget proposal for Teonn May 2010.

Malu says that they need either an additional person or kitchen hand. So budget needs another $600 for koha for cooks.

Discussion of logistics of Moto Moana and where people can sleep and how to feed them all.

With the adjusted budget, Anna proposes, Mike seconds. Passed unanimously.

Mike has started a thread to discuss this. Agree that a wiki is not appropriate. Should be broken up into smaller documents. Peer reviewed to ensure everything is included.

We’re not comfortable lending our gear to people that we don’t know and that are not nzlarps members, projects or affiliates. There was also concern that if not everyone there is using larp swords then wooden swords can damage our gear.

Our gear is only lent out to nzlarps projects and affiliates or society events. This doesn’t qualify.

Chimera won’t make money, but the fundraiser games will.
Predicament Anna was in was that there was no room at all for growth; So Anna has had to hire the full camp. Needs everyone that turned up last year plus an extra 20. (95 per round and 110 for flagship).

Climbing on the roof at Teonn – we think that Moto Moama probably wouldn’t approve. We should not discourage this in the future.

Publicise the first aiders before the events and have a list in the kitchen.

Find out how much it costs for a first aid course and see if nzlarps can pay for some first aiders.

Action Point Mike: Selling the hay. Need to put it on Trademe.

A Kitchen kit is needed for 100 player games.

First aid kit specifically for the kitchen.

Need to look into who is available in the community for doing food, because it can’t always be the same people.

An epipen – Decided that we can’t afford them as they are $200 and only last one year. People need to bring their own and take responsibility for their health.

A roster for helping in the kitchen. Or a list of people so cooks can tick off the help. Nikki thinks the GM’s should make a roster. Suggestion that the groups be rostered rather than individuals with responsibility on the group leader to ensure all assist.

The Black cartridge will run out soon on the printer. Costs ~$300 to replace. Lasts about 18months.

Gear rationalisation. Usually happens beginning on January. Some of the boxes need replacing and Cameron wants to do this before the gear rationalisation so the boxes are there.

Action Point Cameron: Get some costs

Set 15 January as a tentative date.

Suggest we need to do a post Chimera rationalisation. Summer clean and spring clean.

Next committee meeting February. 1st Wednesday in February.

Apologies if it’s inappropriate for a non-committee member (not even an NZLarps member - yet :wink: ) to post here. Re: the presumably laser toner cartridge: places like Cartridge World refill them for much much less than $300 and the line around here (Dunedin) at least is that it doesn’t void the manufacturer’s warrantee like it did in the past. Worth a look?

We’ve looked into getting cartridge refills in the past. Apparently our cartridges can’t be refilled, according to research at the time.

Fair enough. I’ve run across that before as well. Perhaps worth asking them again though - rather than refilling the actual cartridge, the place where I used to work took in their spent cartridge and got a “new” refilled one. I can’t recall it costly more than $150, but obviously it depends on the make and model of cartridge :slight_smile:

Can I reccomend simply offering a discount towards the event cost to anyone who can provide a valid first aid certificate upon request and who is prepared to be a first aider at the same event?

I didn’t hear or see anything on Diatribe about the Navy thing - what was that about?
(Related note: perhaps including brief explanations of stuff non-committee people might not have heard about would be helpful)

Also, first aid courses are quite expensive, but there are some already in the community - a discount sounds like a good idea, especially if you’re wanting someone to be ‘on duty’ (thinking mainly of Chimera where everyone is all over the place and first aiders might not be easily found in an emergency). I’ll put my hand up to do first aid for games I’m in auckland for (or wellington, for that matter)

Sounds like I have a moral obligation to a) go; and b) encourage all my friends to as well, just to help it break even.

Two of the ships want to have a sorta skirmish thing (where they dress up and fight with wooden swords) between them as an end of year event. One of the members - that is also a friend of someone in the community - asked if the ship could borrow a bunch of the NZLARPs gear. We said no for a few different reasons the majority doing with the saftey of the gear in the society’s possesion.

Yeah, This is meant to be we should Discourage climbing on the roof. Dont want you going through the roof anf NZLARPs being libal. Or getting banned from mota moana. Also, There be dragons. And the great and powerful sun god will get angry that you are trying to invade his sky and burn you with his fire.

I think this is a matter of weighing up the costs and benefits. We’d have to know what a stall will cost before we can figure out if the potential benefits are worth it.

In terms of Paddywhack being there, I’m open to the idea but also aware of the risk of being left with a load of unsold swords and out of pocket. I don’t know how to estimate how many swords I might sell.

The question about price point is a good one too. Nothing I sell will be a $20 impulse purchase. Some people, even kids, might be up for a $57 shortsword or a $79 longsword, although that would mean selling them at the NZLARPS member price to the general public during Armageddon.

I’m not sure what the deal was with Knight School, but I think the simplest thing at an event of this size is showing people how to use the weapons safely, and then letting them duel each other a few times (perhaps with sword and shield, so it lasts). When you’ve never played with a foam weapon before, just getting to duel is fun and challenging enough. We could run a “king of the hill” kinda thing, where the winner gets to keep fighting people until defeated, then is replaced. Bragging rights and all that. A 2-person duel requires the minimum space and equipment.

So yeah, I think it’s a decent idea but we’ll have to look at the costs.
