Matters arising[/b]
- Increased koha for cooks, for large games

Sabbat financials – NZLARPs needs to run one off games on the Fri night.
General officers to follow up on one off games.
Committee to post a message in the Society communications forum, to ensure people are aware of the need and opportunity to run a Fri night game here.
We have paid the deposit for the venue, but have not finalized the budget yet. - First aid kit – Anna is yet to purchase.
- Gear – is there a cut-off date where we have to have it gone from Hannah’s mother’s house by? Hannah – doesn’t know of a cut-off date.

Content Management System – Mike has been at a meeting with people interested in setting up a content management system. Mike would like the Committee to approve up to $50 a month, to support an easy to use content management system for multiple games. Has found a candidate open source one, but needs to be hosted on a web server, preferably an NZ one. Likely to cost $30-$40 a month to host.
In the long run, National Committee should probably be responsible. Would be good for Auckland to set up a demonstration system.
Mike moves : As an interim measure, Auckland Committee to get it up and running.
Volunteers from committee – Gene, Alan Shaw, Stacey.
Hannah – How long would Auckland trial go on for?
Mike – 2 months or so, but Auckland could keep it going if National not keen. -
[b]AGM[/b] – need to book. - > Clare to do – email AGM site and pick up card. -
Armageddon – no one has stepped up to take this on. Mike – will email the general officers to see if they want to take the lead of it. Crucible do want to be involved, but nobody who can take ownership at the moment.
Need to see if someone in community can take ownership of the project.
Changeling
Kerry – the Changeling New World of Darkness LARP would like to become a project. The facebook group has 70+ members.
The GMs for this project are Kerry Pellet, Ben Seymour, Tim, Stephen, and Phillipa.
Mike – Paperwork?
Kerry – the paperwork has been emailed through.
Mike – How much are they charging? Is there an NZLARPs discount?
Kerry - $5 per game or $50 for year.
Mike – Is it worth requiring monthly games to submit a budget each month?
Kerry – Planning to have a Google docs account, linked to the treasurer account, for visibility.
Ben is current president of America, has been secretary and treasurer before.
Hannah – How long will game be running for?
Kerry – Estimate about 3 years.
Mike – Can’t approve right now, due to meeting being inquorate.
This is the 3rd meeting where we are inquorate – this is not good. Will post on committee forum to give people a stern reminder.
Apologies to Kerry that we can’t resolve the changeling game application tonight.
Financials:
Mike hasn’t received anything from Anna, however there are some MYOB problems occurring. The finance levels in the accounts are good.
Mike – Hannah to follow up with Anna to make sure deposit for Crucible game is paid.
Marketing Report:

Gear report:
Teonn have washed clothes, have not returned them yet though.
Hannah - Costume hire business selling up on Trademe – quality unlikely to be what we are looking for, considering that it is hireage gear.
Fundraising Opportunities:
Hannah – Council grant application?
Mike – Anna has sent him financial statement. If the statement contains enough information, will put the grant application through tomorrow.
Sounds like the council space on offer in the application is for industrial storage. Would be for a year.
Storage
Hannah - The Crucible team is hiring a container?
Mike – 20 foot trailer, likely to be for hireage. For storage of large props.
Hannah – Work has storage space, but is in Kumeu.
Mike – What’s the security like?
Hannah – Locked gate.
Mike: Hannah’s mother’s place fine as an interim measure, as long as she doesn’t mind. Kumeu not too much of a drive away.
Action Point: Hannah to follow up on possible storage with her boss.
Sabbat Discussion:
- Haven’t approved the budget yet for the game.
Action point: Mike doing a post on the committee forum, to remind other committee members of their responsibility to attend meetings.
AGM – need to book Ellerslie hall.
- School holidays – high school/primary school – avoid booking it around this time (as Hannah is going away).
Holidays end 27th Sept.
Try for 2nd or 3rd Wed of Sept? (Sept 11th or 18th) – see if either are available.
