Auckland AGM 2025 committee reports

Regional Director Report:

Only joined in July but the committee has great job, and there have seen some new larps start up in the region
This years larp faire was successful with a number of new people coming along and showing interest in the hobby, we also had an awesome marketing opportunity with Toby Morris from Stuff coming in and doing a section on the larp faire (https://www.thepost.co.nz/culture/360821030/people-watching-auckland-larp-live-action-role-playing-faire)
I would like to a give a specific shout out Mock for organizing and cataloging all the gear in the gear shed it was a massive undertaking and you did an incredible job

Regional Secretary Report:

  • Joined earlier this year
  • Big focus BTS to improve systems, with extensive volunteer time and effort being put into improving file organisation, reorganising and refining the discord, and catching back up with the publication of minutes across various platforms, and filling in large gaps of missing knowledge after a period of extended handovers.
  • In tandem with this effort, the Secretarial role has coordinated extensively with Marketing and the Regional director to increase transparency, accountability and clear communications between us and the community - something that has been part of a wider conversation around repairing and improving public perception of the committee as an entity.
  • Improvements to handover processes in process to assist in this latest turnover of committee members.

Despite a lot of Committee Turnover we had some really fun marketing opportunities with the Auckland LARP Faire and Huiki Haere episode on LARP. We are seeing some LARPs to a close this year and more are starting up. It is nice to see the LARPing community bouncing back after the Covid years.

Gear Officer Report:

Set out to organise and catalogue all the gear. Did it. Anyone can check it out at the link.

Hoping this makes it easy for future GMs to organise games and easy for future gear officers to keep track of our assets.

Pushed for GMs to apply for Creative Communities funding. Sadly none of our projects got funded this time around but I’m glad we tried.

Regional Treasurer’s report - posted on behalf of Caitlin S.

    • After several years of financial loss due to lack of games with pandemic, the increase in games and renewed interest in LARPing is promising,
  • Loss this year, mainly due to needed expenditure on gear shed maintenance and improvement. Increased awareness and ease of gear hire in last few months shows that this is likely to be a good investment. Region is likely to be profitable again next year if rate of gameplay continues.,
  • Auckland Region is in a somewhat unsettling yet manageable financial position in regards to cash reserves. For many years in the 2010s was operating at around $20,000, has been between $5,000 and $9,000 at different points this year. Given the expensive nature of games, this has caused issues around the timing of reimbursements when multiple games have occurred; also presents an issue if any large unexpected costs (e.g. weathering a pandemic) comes up again,
  • Main priority for new treasurer will be standardising comms and procedures to assist GMs with new society reporting requirements,
