Admin/Organisers e-Tool , I am so excited :)

At our games we have to sign people in and grab some other info for safety reasons.

Emergency contact name
Emergency contact number
Loan equipment required
etc

This can really slow down if there are a lot of people.

Wouldn’t it be nice if all this could be done electronically with little administration?

After 5 days of searching and testing I think I have found a solution.

Drupal + CiviCRM

Here is how I envisage it will work.
A new/prospective registers on the site.
They look around the site and forums.
They want to come out to a game.
They then fill in their profile with all the required information.
Click on the event registration link, and confirm their attendance.
Click any check boxes for gear required.
Done.

Before the event the organiser exports the attendence list.
All the info required will be on there if the user has filled in their profile.
So the only people that have to write anything will be people that have no net access.
Even then you can pregister for them to save them writing.

On the day, just check people in as they arrive :slight_smile:
Easy.

The system is linked to the forum software so people only need one login to modify their registration info and use the forums.
Membership payment manage is also part of the software.
I have not tested that part though.
Auto reminders, for both member and admin etc.

At the moment the event organising is very manual.
A thread is started.
People say they want to come and what they need.
The organiser scan’s the thread and updates the first post with info.
Who’s coming and needs what.
etc

If you already have something like this setup carry on,
but I am very excited to see my workload when this goes live

You have linked phpBB into Drupal? I’m amazed :wink:

I can throw a hand in with assistance - an acid test with your/a game would be good as a proof of concept

I am a big fan of Drupal for easy layout and easy editing (coughAmericacough)

Is this being proposed as an alternative to the current game websites? To the front nzlarps page?

forums, we currently use an old version of ipb, so will also be converting to smf as part of the upgrade.

The Greens implemented drupal and CiviCRM last year. It’s very good, not only for content management, but also for keeping track of people and managing marketing campaigns.

I’m very interested in how well this works for the Airsoft games.

We’ve been meaning to put together an event booking system for NZLARPS for some time. Craig looked at Drupal but didn’t fancy it. I’m still planning to write something custom that ties into the existing members database but haven’t gotten around to it.

At the airsoft game I thought a lot of time could be saved by physically placing all the administrative stuff in one place. Sign-in, gear lending, etc. could all happen within a few metres of each other, rather than walking from place to place. Physical arrangement can create a lot of efficiency, so set aside an “admin area” and only let cars with club gear in them park there.

Sometimes we are just too busy to even think of simple stuff like this so always good to have a new set of eyes.

Mike, I am turning off 70% of the crm features.
All I wanted initially was just a event registration system. :slight_smile:
So there is plenty it can do for any organisation.

Initially I started playing with Joomla, little easier to use.
The feel of durpal is more slick and streamlined though. 8)

To register you have the option of going straight to the event.
Or view a detailed list of events via the event manager.
For members that do not need to change any information, you can register in 4 clicks from the front page.

The event manager allows you to view a list of registered attendees.

Detailed game information.

All pages from this point are encrypted.
First registration screen.

Confirm information entered.

Registration confirmed. Printout if you like.

On the admin side.
I will try to make this export process a one click thing.

View list of participants/registered attendees.
Select export

User saved field mapping

Export.

The csv file that is exported.

Some formatting required but nothing a template won’t fix.

Updating your own information.
This is only viewable to you and the Administrators.
No one else.
