Minutes of Wellington Committee AGM, Oct 22, 2015

Meeting was opened at 7:43 p.m., following the National AGM. Quorum was achieved through the addition of email votes.

In attendance: Scott Kelly, Russ Kale, Naomi Guyer, Mel Duncan, Thomas Joychild, Rebecca Harris, Jaron Peek.
Apologies received from: Courtney Parnell, Anthony Doornebosch, Idiot Savant.

  • Approval of the minutes of the previous meeting were moved by Russ, seconded by Scott, and approved unanimously. Following this point, it became impossible to tell who was moving, seconding, and thirding, as this was done more or less simultaneously by everyone in attendance.
  • Approval of the committee accounts was tabled for a later date, due to the absence of the treasurer. When they have been finalised and presented, the new committee will approve these.

Regional Director’s report was presented by Scott. Treasurer’s report and Marketing report were presented by Russ due to the absence of the holders of those positions. Secretary’s report was presented by Russ. Gear Officer’s report was presented by Mel. The reports are available to read in the Diatribe thread linked to at the end of this post. General consensus was that the Wellington LARP community had faced a challenging year, based on a number of factors. Especially during the last six months, GMs struggled to fill local games due to national LARP events, a lack of publicising of games, and the yearly onset of winter, among other factors.
It was moved that all members’ reports be accepted, and the motion was seconded by everybody.

Voting commenced at 8:03 p.m. The elected representatives for the 2015-2016 committee year are as follows:
Regional Director: Chris Rosedale
Treasurer: Anthony Doornebosch
Secretary: Courtney Parnell
Gear Officer: Mel Duncan
Marketing: Idiot Savant
General Officer: Thomas Joychild
The motion that there be two general officers was approved. However, due to nobody from the floor nominating themselves for the position, only one was voted in at this time.

Discussion of large-scale Wellington events in the coming year was held. Scott Kelly spoke on behalf of Hydra and Dry Spell, and Jaron Peek on behalf of Embers. Embers in particular is of interest to the Wellington community, and Jaron was apprised of the ways in which NZLARPs could make its resources available to the game.
Embers will announce the dates of its first game soon (at time of posting, this has already happened).
The results of the recent survey of Wellington LARPers were also presented. Discussion of the results was enthusiastic, with several attendees expressing interest in running games to suit the community.
Mel Duncan announced that there were plans to introduce interested LARPers to the process of writing and GMing, to boost the pool of skilled game-runners. This program was scheduled to begin over the coming weeks.
