Regarding the Wellington banking access. I have tried several times to post the pins and security cards to Ants who I believe is still the treasurer for the Wellington region and for some reason or another they keep getting lost in the post (I believe I’ve sent him three sets of these documents). As Ants has signing rights for the Wellington account he is able to walk into a branch in Wellington to organise to get them delivered to him specifically or for collection from a branch as there seems to be some difficulty with his post.

I’d emailed Naomi to see if she was still keen to do the secretary role and she’d indicated she was too busy (if memory serves) so we did ask for a new volunteer at our next meeting. Ellen volunteered to do that. We had no other volunteers so we advised people of our current exec team and asked if there were any objections/anyone else who’d want to put their hands up.
No one had any objections, no one else wanted to volunteer. But because she wasn’t voted in I expect that makes her not “official”
Granted, the original exec team wasn’t voted in either. We’d were the only ones keen for the roles at start up.
Still keen to know exactly what I should be doing at this moment to help Wellington get sorted. Is it: advise the three recognized execs to hold an election either at the SGM in Sept or sooner if the three recognized execs see fit to do so? I want to hand over stuff ASAP.
Okay, it sounds like there was a 2010 Wellington AGM at which one person stood for each titled position. The members present at the AGM took a single vote that the individuals standing for each position should be given those postitions. Shall we say that vote covered having Ellen as secretary? That’s probably in keeping with the intention of that vote. It’s all a bit unorthodox by the constitution, but these processes can be improved with time. That gives us:

Personally, I’d suggest that we use the list above as the official Wellington committee unless there are objections. That committee can organise a Wellington Annual General Meeting (AGM) in September where the committee can be elected. It’s not long to wait, as Idiot said.
In the meantime, you’ll have a full complement of five voting members. While you’re still technically the Director, there’s nothing to stop Ellen taking on some responsibilities usually taken by the Director, if you want. You could delegate to her the arranging of the AGM, for example. That’s the least-fuss approach. I can update the NZLARPS website and the forum permissions appropriately.
How do people feel about using that list until the Wellington AGM in September?

I’ve added Ellen (AhGoodTheSea) to the Wellington committee so she’ll have visibility and voting rights on the Wellington committee private forum. I’ve moved Naomi (Adrexia) to the Wellington helpers group in case she’d still like to be able to comment on the committee forums, but she won’t have voting rights.
So as of now the committee of five listed above can create polls on the Wellington committee forum and vote on them, and that counts as a binding committee motion. That means you don’t have to get together in person to organise the SGM and anything else you might want to do.
I’ll correct the committee list on the NZLARPS website soon.
Man - when I’m wrong, I’m wrong. There’s actually a clause in the constitution for when someone on the committee resigns their position (or is unable to continue for whatever reason), that I hadn’t noticed when we had this discussion. The committee can just appoint any other society member (unless it means committee member, it just says “member”) to the vacant position. So my advice was wrong, Jackie could have just stepped down and the remaining committee could have appointed Ellen as Director until the Wellington AGM, without the need for an SGM.
My bad. On the bright side (lemons to lemonade and all that), I think this discussion may have helped draw some attention to the cool stuff being done by the Wellington committee, the requirements of the constitution, the value of regular meetings, etc. The Wellington AGM seems to have been well-attended and the plans look great.
