Agenda for LARPS meeting 2nd Nov

=> Ownership of Diatribe, Craig has created the forum and put a lot of work in but there has been no discussion about asking him to donate the site offically to LARPS.

=> Membership details; whos responsiblity, who people contact to join, details we want recorded

=> Paddywhack banner on Diatribe.

=> Monthly newsletter, should we (I think yes) following Craig’s format with montly events and if so who.

=> Other advertising on DIATRIBE
=> Character workshop debrief

=> Getting a LARPS homepage up that states exactly what the society is and how it works. Right now there is no solid online presence and explanation. For example, if I’m a new LARPS member and want to run an event under LARPS, what should I do?

=> Possibility of other workshops/events run by LARPS, and taught for free (or cheap) by interested parties (because the improv workshop indicated that costs for such events need to be lowered).

  1. For example, I think a lot of people would be interested in a workshop on “how to fight well with foam weapons and look good doing it”, which someone like Patch or maybe Steve Hodgson (who’s been teaching foam weapon fighting at Massey Albany) might be good for, with items specifically useful to LARP like “looking like you know how to use a real sword”, “how to take damage and die like you mean it”, “fighting around obstacles on uneven ground” and “checking that you’re not finishing off your mates in the dark”. An evening like that could end with a series of combat games, Skirmish style but with more of an emphasis on roleplaying, where you get to try out what you’ve learned.
  2. Or we could do another improv style event, but taught by one of us and incorporating more larp-relevant stuff, maybe ending with a small simple larp that’s created and played on the spot.

I’d really like to make the Paddywhack deal RIGHT NOW, not in November, because the $5 LARPS membership will have expired by then. Is it possible to just ring around the committee and get votes on what sort of advertisement people are happy with, if any? I’m open to restrictions on the style of advertising, but I don’t want an obviously great idea for LARPS recruitment to be left too late!

Also, I don’t just want advertising on Diatribe but on the LARPS society website too (when it exists).

I would suggest that the decision of what conditions people can advertise on diatribe should be made by whoever owns diatribe.

And, when there is a LARPS website, that this decision can be made by the treasurer and president without getting all the councillors to vote on it.

The reason there ARE presidents and treasurers for clubs is so they can make decisions like this.

Waiting for committee meetings to vote on every single decision will paralyze the group.

At the moment, since we have not yet established any precedents, its really hard for people to make executive decisions here. Maybe the Committee can vote on the Paddywhack thing via the Committee forum?

I would also like to add to the agenda:
=> Propose extending membership discount period by a further month (depending on how many members have joined by the end of the mont)

=> Timeline for officially making Mordavia a Project (and bringing the equipment and any money in Mordavia’s name under Association control). This would also need info about pending games and budgets, etc.

=> New constitution document

=> Set SMART goals for growth and activity

I would also like to suggest a brief conversation about advertising and/or name-getting-out-there-ing. I have ideas and a place to start but help is always helpful. Unless of course its bad advice, inwhich case its not helpful.

When you are an incorporated society you are required by law to collect birth date* and occupation*. We should probably be collecting that information now.

Name, address and birthdate I knew of. Occupation? The dancing association didn’t collect that… :slight_smile:

Oh well, we’ve got the get the constitution ready first. But I agree that we should have some more details in the membership database.

I was wrong. They don’t want birth date. They want when you joined.

So, they sould send the relevant information to me (the secretary) so I can put it in the database. Along with email and phone number so that we can get in touch with people if necessary. Most of the people that joined gave their email and I have emailed them to ask for their other contact details - nobody has replied yet and one person’s email didn’t work.

P.S. The next meeting is on the 2nd of November!! (Will send an email to the people in the Committee whose emails I have…)

-sigh- I’ve really, really got to get that draft constitution finished today.

Interestingly, there was a New PLymouth LARP Society between 85 and 02, but its now dissolved.

Not sure, but they may want to charge us $50 to become incorporated.

We’ll definitely need a logo in order to make the common seal (ie, rubber stamp with ‘NZ LARP Society Inc. Common Seal’ on it)
